S-III Building Secretary
Pocopson Elementary School
7.5 hours per day,187 days per year
10-month position, Benefits eligible
Salary $17.27 per hour
Available immediately after onboarding is complete.
Job Summary: Provide confidential secretarial and administrative support to the Principal and staff. This role requires the ability to interact effectively with staff, parents, and visitors in a fast-paced environment, while maintaining flexibility, proactivity, resourcefulness, efficiency, and a high degree of professionalism and confidentiality.
QUALIFICATIONS: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent the minimum educational achievement, training, skills, and/or ability necessary.
- Education: High School Diploma with training in the secretarial field; college or business school preferred
- Experience: Experience with PowerSchool is helpful.
- Organizational Skills: Highly organized with the ability to handle frequent interruptions
- Confidentiality: Demonstrated reliability in handling sensitive and confidential information.
- Interpersonal Skills: Excellent interpersonal skills, including tact, patience, and courtesy.

ESSENTIAL FUNCTIONS: Employees must have the ability to perform the following essential functions on a timely basis with or without reasonable accommodations.
- Provide secretarial and administrative support to the Principal and staff.
- Maintain a safe and secure office environment ensuring adherence to established protocols.
- Handle sensitive information with strict confidentiality and exercise a high level of discretion.
- Greet visitors professionally and manage visitor identification through the Raptor system.
- Maintain accurate student attendance records, prepare related correspondence, and promptly notify appropriate staff of attendance issues or concerns.
- Process staff absence requests and secure substitute coverage efficiently.
- Assist the Principal in arranging coverage for absent staff when substitute personnel are unavailable.
- Maintain the daily Student Dismissal Spreadsheet and ensure accurate student dismissal procedures.
- Supervise student drop-off in the morning and dismissal pickups, ensuring student safety in all weather conditions.
- Collect and maintain volunteer clearance information.
- Prepare general correspondence and generate reports using advanced computer skills in Google Workspace, Microsoft Excel, Word, and PowerSchool databases.
- Answer and direct phone calls, take accurate messages, and provide professional telephone etiquette.
- Sort and distribute incoming mail efficiently.
- Maintain organized and accurate records and filing systems.
- Maintain regular and consistent attendance.
- Perform other duties as assigned by the Principal or supervisor.

WORK SCHEDULE: 10-month, 187 days per year, 7.5 hours per day, 8:00 a.m. to 4:00 p.m.
