Position Summary :
An experienced and proactive program coordinator to provide high-level program support to the Chief Scientific Officer who reports to the President and CEO. As an integral part of our team, you will play a pivotal role in ensuring seamless operations within the Business Development and Translational Medicine activities. Some administrative activity may be required and there is a requirement to be in the office 3-4 days a week. The salary range for this role is in the range of $120K .
Essential Duties and Responsibilities :
- Collaborate with cross-functional teams to facilitate knowledge management, information flow, and streamline processes. Manage in an organized manner folders in SharePoint, Teams or similar data repository.
- Ability to coordinate review processes and ensure timely stakeholder responses in a professional manner.
- Assist in the coordination and execution of pre-clinical projects, tracking deadlines, milestones and deliverables.
- Support Business Development activities, including taking minutes at meetings, organizing documents and tracking action items.
- Support publication activities (abstracts and publication-related activities) by filing document appropriately, scheduling meetings and following up with stakeholders.
- Organize presentations, reports, and documents for internal and external distribution, maintaining confidentiality and accuracy.
- Support conferences and Advisory Boards, including planning, scheduling, identification of venue and menus, coordination with vendors, etc. Requires high degree of attention to detail while execution of the tasks is delivered on time and within budget.
- Coordinate complex calendars, meetings, and travel arrangements across the business development team, ensuring efficient scheduling and logistics.
- Manage and prioritize multiple tasks and projects simultaneously, demonstrating exceptional organizational skills and attention to detail.
- Handle confidential and sensitive information with discretion and professionalism.

Work Environment :
This is a small, fast-paced organization. Candidates must be self-starters who are comfortable working both independently and in collaboration with a team comprised of in-house and external team members. The ability to be productive and successful in a dynamic work environment is critical. The position is US based. Team members who live within commuting distance to the San Diego, CA office are expected to spend the majority of their work time physically present in the office interacting with other team members. Remote employees will be expected to travel to an office on a regular basis. Specific details for both local and remote staff will be discussed and agreed on a case-by-case basis with the employee’s manager. Business travel may be required depending upon the specific needs of the position.
