JOB FUNCTION / SUMMARY:
The Document & Mail Room Specialist is responsible for managing and maintaining the bank?s file room storage, overseeing storage for processed check items, and ensuring the efficient operation of the mailroom. This role involves handling mail workflow and delivery at the bank?s main location, preparing documents for processing, and accurately archiving them into the bank?s systems of record. The specialist will ensure compliance with document retention policies and contribute to the overall efficiency of the bank?s document and mail operations.
PRIMARY DUTIES & RESPONSIBILITIES:
- Prepare documents for processing, scanning, and archiving into the bank?s records management system.
- Ensure timely and accurate data entry of stored documents into the bank?s systems of record.
- Adhere to security protocols for sensitive documents and financial records
- Collaborate with internal departments to facilitate efficient document and mail handling processes at the Atmore locations.
- Maintain mailroom operations, including receiving, sorting, and distributing incoming and outgoing mail and packages.
- Maintain and organize the file room storage, ensuring accessibility and compliance with retention policies.
- Manage the storage of processed check items, ensuring proper handling and security.
- Pick up and deliver mail and boxes from and to Post Office
- In the absence of the Courier, deliver and pick up mail and boxes to Branches and other locations.
- Any other duties as assigned by Management.
