WHAT WE’RE OFFERING

The Project Billing Coordinator will work with our OSP & Construction team on a temporary basis to review vendor invoices and ensure that calculations align with our service agreements. This position will last for a maximum of five months and will play a critical role in assisting our construction team on a project basis.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
Duties include the following, but other duties may be assigned as required.

  • Accurately review invoices from vendors, ensuring calculations align with service agreements.
  • Utilize Excel to verify footages, invoice amounts, and apply simple formulas for calculations.
  • Maintain high attention to detail, cross-checking invoices against internal records.
  • Enter and manage invoice details across multiple Excel tabs for accurate record-keeping.
  • Track and update invoice status within Smartsheet or other digital tracking systems.
  • Ensure invoice data is properly categorized for reporting and reconciliation purposes.
  • Use Google Earth to review and verify location-based invoice data.
  • Cross-check invoices with map data to confirm service locations and accuracy.
  • Clearly communicate invoice discrepancies to vendors and internal departments.
  • Work independently to resolve minor invoicing issues and escalate concerns to management when necessary.
  • Collaborate with Accounting and project teams to ensure accurate billing and payment tracking.
  • Apply basic accounting principles to analyze invoices with varying service charges.
  • Maintain proper documentation and adhere to company financial policies.
  • Keep track of invoice submission and payment timelines to ensure deadlines are met.


JOB QUALIFICATION AND REQUIREMENTS:

Education, Experience, Training, and Licenses:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting, Business, or a related field is a plus.
  • Prior experience in invoicing, data entry, accounting, or a related field preferred.
  • Strong attention to detail with the ability to accurately review and verify financial data.
  • Effective communication skills, both written and verbal, to interact with vendors and internal teams.
  • Must be able to prioritize tasks and meet deadlines in a fast-paced environment.
  • Prior experience working in Smartsheet is preferred.
  • Knowledge of Google Earth to review maps, locations, and verify invoices based on map-based data is preferred.
  • Ability to collaborate with multiple departments, including Accounting and Project Management, to ensure accurate financial tracking.
  • PC Skills – requires an advanced understanding of accounting software, with advanced word processing and email skills, along with the ability to review and analyze reports in company systems. Must be proficient using Microsoft Office products, including Word, Excel, and Outlook. Ability to touch-type at 40 WPM and use a 10-key required.
