Job Overview
This Entry-Level Grants Coordinator provides administrative support for the grants process, assisting with grant applications, tracking deadlines, and ensuring compliance with funding requirements. This role helps maintain accurate records, supports grant reporting, and collaborates with internal teams to ensure smooth grant administration. The Grants Coordinator will develop a foundational understanding of grant management while contributing to the organization’s fundraising and program sustainability efforts.

POSITION GOALS
Goal 1. Ensure Accurate Grant Tracking – Maintain an up-to-date grants database, tracking all application deadlines, reporting requirements, and funder communications.
Goal 2. Support Grant Application Processes – Assist in gathering and organizing necessary documents, data, and narratives to meet submission deadlines.
Goal 3. Ensure Compliance with Grant Requirements – Work with finance and program teams to monitor spending and reporting in line with grant agreements.
Goal 4. Improve Grant Documentation & Record-Keeping – Maintain organized and accessible records for all grant-related communications and submissions.
ESSENTIAL ROLES AND RESPONSIBILITIES
- Maintain a centralized grant tracking system to monitor all active and potential grants, ensuring deadlines and requirements are met.
- Ensure compliance with all grant agreements, including financial and programmatic reporting requirements.
- Work with finance and program teams to track spending and ensure proper allocation of grant funds.
- Assist in preparing and submitting required grant reports, including financial and narrative updates, in accordance with funder guidelines.
- Serve as the primary coordinator for grant application processes, ensuring all required documents and information are gathered and submitted on time.
- Maintain a calendar of grant application deadlines and reporting requirements.
- Support program teams in compiling necessary data and narratives for grant applications and reports.
- Assist in reviewing and proofreading grant proposals for accuracy and completeness.
QUALIFICATIONS AND SKILLS
- Strong organizational and time management skills, with the ability to manage multiple deadlines.
- Basic understanding of grant processes or willingness to learn.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn grant management software.
- Attention to detail and ability to ensure accuracy in documentation and reporting.
- Ability to work collaboratively with cross-functional teams.
- Research skills and ability to analyze funding opportunities.
TRAVEL
Travel to and from satellite United Community locations and meeting sites with a 3-5 mile radius is expected. Mileage reimbursement may be provided.
