Job Overview
This dual-role position combines high-level executive support with front desk coordination. The ideal candidate is professional, proactive, detail-oriented, and comfortable juggling both administrative and receptionist responsibilities. This role is key to ensuring a seamless and welcoming experience for guests and internal teams, while keeping executive operations running smoothly.
Key Responsibilities

Executive Support:

Provide administrative support to the executive leadership team, including managing calendars, scheduling meetings, and coordinating appointments.

Prepare and organize documents, presentations, reports, and correspondence.

Make travel arrangements, including booking flights, accommodations, and itineraries.

Assist with meeting preparation, agendas, and minutes.

Handle confidential information with discretion and professionalism.

Support special projects and company initiatives as needed.
Front Desk Coordination:

Greet and assist visitors with professionalism and warmth.

Answer and direct incoming calls, emails, and inquiries.

Manage incoming and outgoing mail and deliveries.

Maintain a clean, organized, and welcoming reception area.

Coordinate office supply inventory and general administrative tasks to support day-to-day office operations.
Qualifications:

5 years of experience in an administrative or executive support role; experience in a front desk or office coordination capacity preferred.

Excellent written and verbal communication skills.

Strong multitasking, organizational, and problem-solving skills.

Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

Friendly, approachable demeanor with a professional presence.

Experience in the construction or real estate development industry is a plus.
