Job Description
The Operations Administrative Assistant plays a key role in supporting the efficient operations of the United Indians of All Tribes Foundation (UIATF) by providing administrative and operational support across multiple departments, including Marketing, Development, Events, and Facilities. This position ensures seamless coordination of tasks, processes, and communication, enabling the COO to focus on strategic priorities.
Key Responsibilities
Administrative Support
- Serve as the primary administrative support to the COO, including calendar management, meeting scheduling, and correspondence.
- Prepare, edit, and distribute documents, presentations, and reports as requested.
- Assist with drafting and reviewing internal and external communications.
- Organize and maintain digital and physical files, ensuring confidentiality and accessibility.
Marketing and Development Support
- Assist in tracking marketing campaign progress and updating content calendars.
- Support Development efforts, including donor communications, tracking pledges, and preparing materials for fundraising events.
- Coordinate with the Marketing and Communications team to ensure consistent branding in all materials.
Event Coordination
- Provide logistical and operational support for UIATF events, including galas, community gatherings, and meetings.
- Coordinate with the Events Manager to manage event supplies, schedules, and vendor relations.
- Function as a point of contact during events to ensure smooth execution.
Facilities Support
- Assist the Facilities Director in tracking maintenance schedules, submitting work orders, and managing vendor communications.
- Maintain inventory and order office supplies, ensuring all departments have necessary resources.
- Support facility scheduling and oversee room setup for meetings and events.
Operational Support
- Function as a liaison between departments to facilitate communication and collaboration.
- Participate in special projects and initiatives as assigned by the COO.
- Monitor organizational processes to identify areas for efficiency improvements.
Other Duties as Assigned
- Provide additional support to COO.
- Collaborate with team members to address organizational priorities.
Qualifications
Required:
- Two years’ experience in administrative support, operations, or a related field.
- Strong organizational skills including attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello).
- Ability to multitask and prioritize effectively in a demanding environment.
Preferred:
- Experience in nonprofit organizations or event coordination.
- Familiarity with marketing and fundraising platforms, such as Canva, Constant Contact, or donor management systems.
- Knowledge of or connection to Indigenous communities and cultures.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
