What are the responsibilities and job description for the Administrative Assistant-Preschool Program position at United Preschool (Cerebral Palsy of Westchester)?
Job Description: We are currently seeking a Bilingual Administrative Assistant for our Preschool program. Hours are Monday through Friday from 8:00 am-4:00 pm. This position will perform all operational functions to maintain the daily workflow of the Preschool Program. Will also be responsible for the food service program and for closing the securing the facility, as well as classroom coverage.
Responsibilities include the following but are not limited to:
- Types correspondence, reports, evaluations, forms and other items as assigned.
- Maintains the program office filing system and student records to ensure compliance with all applicable regulations and school district requests.
- Provides statistical and demographic information regarding student population as requested.
- Assist the Social Worker with other routine aspects of student case management as required.
- Maintains an updated emergency telephone closing chain for the program.
- Ensures office machinery maintenance and repair is up to date.
- Distributes all school foods for students.
- Maintains a clean and orderly kitchen.
- Assists in school intakes to provide translation when needed.
- Tracks attendance for children and staff.
- Prepares invoices for all day care billing.
- Provide classroom coverage when needed.
- Provide translation between families and school. This includes written and oral communication.
- Update policies and procedures as requested.
- Take meeting minutes for assigned committees.
- Organize and send incident reports to Quality Management.
- Assist with records management and filing.
- Assist with fire safety and emergency preparedness. Maintain records for OCFS, SED and QM.
- Coordinate monthly newsletter and prepare for distribution.
- Purchases and orders office/classroom supplies as requested and authorized by the Program Director.
- Distributes all office and classroom supplies to classrooms.
- Maintains supplies in restrooms and kitchen.
- Send PO’s and invoice to finance. Tracks and files.
- Work effectively with all personnel to ensure a spirit of harmony, team work, cooperation and excellence.
Requirements :
- Must be able to communicate orally and written in Bilingual-Spanish
- Self directed and self starter with excellent organizational skills.
- Working knowledge of computer software and internet. Office 365
- Typing skills of at least 50 wpm.
- Must exhibit good interpersonal skills in both oral and written communication.
- valid NYS driver’s license.
Experience:
- Administrative Assistant: 1 year (Required)
- experience working with children
Education:
- Associates Degree; (Bachelor’s degree preferred)
- Language: Spanish (Required)

Pay: $20.58 - $23.58 per hour
Expected hours: 37.5 per week
