Maintenance Secretary

RESPONSIBILITIES
The Maintenance Secretary directs and provides support for maintenance operations at each community. This team member is in charge of the entire company’s work order process, and maintains the warehouse inventory. The Maintenance Secretary works with his/her staff to dispatch service agents for issues, keeps basic records and follows-up with surveys on the work that was completed. He or she may also work with residents in resolving initial problems before dispatching agents. Our Maintenance Customer Secretary also oversees product purchasing for the company and communities.
ESSENTIAL JOB FUNCTIONS
· Receive all incoming resident work orders and provide excellent customer service.
· Enter all work orders in Entrata and organize the Maintenance Team to service the apartment in the order the work orders are received.
· Maintain and update all Maintenance Safety Logs daily. Generate all correspondence (letters, memos, and interoffice)
· Maintain and update all Asset Inventory Logs, as needed.
· Initiate and comply with purchasing procedures. Order supplies as needed for the property.
· Organize and maintain a filing system for all Maintenance Department supplies.
· Open and close work orders as they are completed.
· Liaison between residents and the Maintenance Team to schedule work to be done inside apartments.
QUALIFICATIONS
· High school education or equivalent experience.
· Bilingual in English and Spanish.
· 5 years of experience.
· Understanding of property maintenance or basic maintenance dispatching.
· Must be able to operate a PC & have effective communication skills.
PHYSICAL DEMANDS
· Ability to utilize office equipment.
· May be required to lift up to 30 lbs.
WORK ENVIRONMENT
· Office environment/service department & warehouse.
Job Type: Full-time
Pay: From $20.00 per hour
Expected hours: 40 per week
