Job Title: Jr. Bookkeeper/Administrative Assistant
Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant/Bookkeeper to join our team. In this multifaceted role, you will be responsible for maintaining accurate financial records, managing accounts payable and receivable, and ensuring smooth day-to-day office operations. You will also perform Live Scan fingerprinting services as needed, ensuring compliance with all legal and regulatory standards.
Key Responsibilities:
Bookkeeping & Financial Management:
- Oversee all aspects of the general ledger, ensuring accuracy and consistency.
- Process accounts payable and receivable, monitor aging reports, and reconcile discrepancies.
- Manage purchasing and vendor relationships.
- Support audits by providing required documentation.
Administrative Support:
- Answer phone calls and direct inquiries professionally.
- Provide general office support, including project coordination and clerical tasks.
- Assist in office management duties, ensuring smooth operations.
- Handle order entry, data entry, and document preparation.
Live Scan Fingerprint Technician (No Experience Required):
- Perform Live Scan fingerprinting services for clients and staff in accordance with legal and regulatory requirements.
- Maintain secure, accurate records of fingerprinting sessions and ensure confidentiality is upheld.
Qualifications & Skills:
- Proven experience as a Bookkeeper or in a similar administrative role with a strong understanding of accounting principles.
- Proficiency in accounting software (QuickBooks, Sage, etc.) and MS Excel.
- Solid experience in managing accounts payable/receivable and general ledger.
- Strong attention to detail and organizational skills.
- Ability to handle sensitive and confidential financial and personal information.
- Previous experience with Live Scan fingerprinting is a plus, or willingness to obtain certification.
- Excellent communication skills, both verbal and written.
- Typing proficiency and strong clerical background.
- Office management experience and familiarity with project coordination.
