The Behavioral Health Clinical Coordinator Supervisor manages group inbox communications, categorizes and assigns requests, oversees workflow and productivity, and reassigns cases as needed. They respond to provider inquiries, investigate authorization discrepancies, research eligibility, and provide resources. The supervisor handles staffing requests, addresses concerns from various team members, and promotes effective communication. They attend daily and weekly meetings, manage census information, correct errors, and ensure accurate authorizations. The role includes proofreading denial letters, sending team emails, collaborating with providers, and monitoring employee productivity. They conduct monthly supervision meetings, support team members, ensure training completion, cover absences, and participate in on-call coverage. Additionally, they complete duties of the Behavioral Health Clinical Coordinator and Administrative Coordinator as required.

Primary Responsibilities: 

  • Plans, schedules and conducts monthly one-on-one supervision meetings with direct reports, offering feedback, setting goals, and reviewing monthly data such as average length of stay, daily productivity, and denial rates 
  • Responds to provider inquiries, investigates authorization discrepancies or questions, research eligibility, investigates concerns brought forth, and provides necessary resources and information
  • Addresses questions and concerns from Clinical Administrative Assistants, SUD Care Coordinators, Peer Support Specialists and Clinical Coordinators. Utilizing individual chats to promote effective communication and leadership in daily operations
  • Monitors the daily productivity of all employees and records the data on a spreadsheet for tracking purposes
  • Performs monthly denial audits and ensures completion, especially if delegated staff are unavailable
  • Steps in to cover for team members' planned time off (PTO) and unexpected absences when needed
  • Assists with completing annual evaluations for employees
  • Reviews and approve timesheets
  • Participates in weekend on-call coverage
  • Maintains up-to-date PTO and On-Call calendars, updates team coverage information, manages PTO requests, and ensures appropriate on-call coverage is in place
  • Manages all communications sent to the group inbox, categorizes requests by type, and assigns them to individual Clinical Coordinators
  • Reviews, proofreads, and edits all denial letters for accuracy, making revisions as needed, and coordinates their distribution
  • Monitors group inbox folders, oversees general workflow and productivity, and reassigns cases as necessary
  • Addresses staffing requests for case reviews, medical necessity, eligibility requirements, and general process questions
  • Attends daily supervisor meetings to review immediate concerns, receive instructions, strategizes and plans for upcoming team changes and brainstorms solutions to various issues
  • Manages and updates internal Behavioral Health and Substance Use Disorder census information to ensure accuracy
  • Monitors authorizations that are misassigned and reassigns them appropriately
  • Corrects census error and category reports or delegate corrections to the appropriate authorization owner and follows up to ensure completion
  • Drafts and sends out team emails three times a week containing team information, reminders, and updates
  • Attends weekly CSNP/SUD facility meetings and collaborate with providers
  • Leads weekly Behavioral Health bed rounds to encourage collaboration with case management and discuss extended lengths of stay or rapid readmissions that need attention
  • Verifies and maintains facility lists are current and accurate, including provider contact information, eligibility details, and other relevant information
  • Supports the SUD Care Coordinator and Peer Support Specialist by managing callout reports, ensuring outreaches are current, and assisting with staffing needs throughout the shift
  • Ensures timely completion of all assigned MyLearning modules for self and team
  • Attends all assigned trainings and monthly team meetings
  • The supervisor also completes all duties and responsibilities of the Behavioral Health Clinical Coordinator and Behavioral Health Clinical Administrative Coordinator as required. For detailed information, refer to the job descriptions related to these positions

Required Qualifications: 

  • Current, unrestricted independent licensure as an LAC, LPC, LMFT, LCSW, or RN in Colorado
  • 4 years of experience directly serving individuals with behavioral health conditions (mental health/substance use disorders)
  • 1 years of experience with local behavioral health providers and community support organizations addressing SDoH (e.g., food banks, non-emergent transportation, utility assistance, housing / rapid re-housing assistance, etc.
  • 1 years of experience with MS Office, including Word, Excel, and Outlook
  • Substance use treatment experience and/or behavioral health treatment experience
  • Utilization Management (UM) experience

The salary range for this role is $71,600 to $140,600 annually based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
