Position Summary
The Loan Operations Manager monitors and reviews all workflows of the loan servicing department for efficiencies and improvements. The incumbent ensures the efficient and accurate maintenance of all commercial, SBA, consumer, and residential mortgage loan portfolios. The loan operations manager oversees the processing of all loan transactions.
Essential Functions
- Review new loan booking packages for accuracy of input into Navigator including payment schedules, collateral and reporting codes.
- Respond to inquiries from all customers in regards to account maintenance, payment processing and any other general requests.
- Review paid off/closed loans for accuracy of filing release documents.
- Review report tracking of the status of real estate taxes on collateral properties, call tax collectors, and work with loan officers and customers on timelines for payment.
- Maintain report of defaulted and force placed insurance for collateral properties; assign projects as necessary to staff to insure all agents and customers are being followed up with for current insurance.
- Oversee the maintenance and integrity of the file room, including proper filing, scanning, and archiving of documents.
- Analyze customer accounts as needed for accurate payment information.
- Manage the work of the loan operations staff, assign specific duties, and ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems as needed.
- Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes.
- Identify the development needs of staff members; provide coaching and training to help staff members improve their knowledge or skills.
- Evaluate staff members' job performance on an annual basis and recommend appropriate actions.
- Discuss job performance problems with staff members to identify causes and issues and to work on resolving problems.
- Interview and select new employees to fill vacancies.
- Develop and implement departmental policies, procedures, and service standards; interpret and communicate work procedures and bank policies to staff members.
- Evaluate each function within the department to determine if it is processed at the highest level of efficiency.
- Collaborate on all audits, compliance reviews and independent loan reviews to ensure a satisfactory rating.
- Communicate with people outside the Bank on a regular basis including customers, regulators, auditors, and customers.
- Maintain technical and professional knowledge by attending educational workshops, obtaining relevant professional certifications, reviewing professional publications and books, establishing personal networks, participating in professional societies, and staying informed of any legal, policy and procedural changes relating to commercial lending, loan systems, and loan documentation.
- Keep informed about industry changes, trends, and best practices, and assess the potential impact on bank processes and procedures.

- Provide backup to loan servicing manager as needed.
Education and Experience
- Bachelor's degree in business, accounting, or related field.
- Five years of experience in consumer, commercial, SBA, and residential lending operations.
- Experience processing SBA lending transactions (Colson/1502 Report).

Knowledge, Skills, and Abilities
- Knowledge of accounting and finance principles and practices, the financial markets, banking, and the analysis and reporting of financial data.
- Excellent computer skills in a Microsoft Windows environment including proficiency in Word and Excel.
- Excellent oral and written communication skills.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply concepts of basic algebra.
- Ability to read, analyze, and interpret legal documents, governmental regulations, and professional publications.
- Ability to effectively present information and respond to inquiries from senior management, attorneys, vendors, government agents, and the general public.
- Ability to write reports and business correspondence.
- Ability to speak and write clearly in order to effectively convey information so that others understand and as appropriate for the needs of the audience.
