Overview

The Senior Administrative Assistant provides administrative support for the Senior Vice President / Chief Nurse Executive and Director, Quality, Safety & Patient Experience.Reporting directly to the SVP / CNE and Director, Quality, Safety & Patient Experience, the Senior Administrative Assistant works collaboratively with his / her peers to ensure smooth operations of the Administration department.The Senior Administrative Assistant is responsible for day-to-day operations of the Administration Office area and proactively anticipates the needs of the administrators and their direct reports.

Responsibilities

  • Serves as a liaison between members of the executive team, physicians, management team, associates, public and private officials, and the general public.
  • Maintains SVP / CNE and Director, Quality, Safety & Patient Experience calendars, coordinates itineraries, and makes all necessary business and travel arrangements.Schedules appointments and meetings making all necessary arrangements as needed.
  • Responds to inquiries concerning hospital policies and otherwise represents the SVP / CNE and Director.
  • Serves as a resource person to other departments and their staff relating to general hospital procedures.
  • As assigned, may carry out responsibility in assisting the Director in gathering, investigating, researching analyzing and / or studying activities impacting hospital-wide or intra / inter departmental operations.
  • Maintains distribution lists for Management Group, Leadership Council, and other committees for SVP / CNE.
  • Compiles DAISY nominations, monthly voting nominations, and schedules celebrations.
  • Compiles materials for special projects, reports, inquiries, and replies to correspondence.
  • Supports Magnet® Re-Designation, Regulatory and Compliance Accreditations, Certifications, and Survey visits.
  • Prepares and / or composes bulletins, letters, memoranda, agendas, records, reports, and other related material from general instructions or written copy.
  • Responds to concerns and complaints with referral to proper individual(s).
  • Meeting / Event Coordination

  • Organizes meetings, including reserving internal / external venue, arranging for catering and audiovisual needs, and tracking RSVPs.
  • Attends and / or participates in meetings / committees as assigned / directed.Records and transcribes minutes of meetings, action items, and other related materials.Distributes information to committee members as appropriate.
  • Assists team members with conference registration and travel arrangements.
  • Administrative / Clerical Support

  • Receives and makes proper disposition of telephone calls, personal callers, emails, faxes, and incoming mail / correspondence.
  • Establishes, maintains, and revises designated filing, record keeping and clerical systems within the office area.
  • Compiles materials for special projects and reports.
  • Collects and maintains various data used in meetings (e.g., quality indicators, patient satisfaction).
  • Assumes other responsibilities to meet the objectives of all members of the executive team and Director, Quality, Safety & Patient Experience and team.
  • Establishes and maintains systematic and easily retrievable filing and record keeping systems.
  • Reviews and accurately enters payroll.
  • Orders supplies for the Administration office and Quality, Safety & Patient Experience departments, as needed.
  • Processes invoices, check requests, associate expense reports, credit cards, general invoice processing and equipment requests as appropriate.
  • Oversees use of purchase card and reconciles monthly statements.
  • Qualifications

  • High school diploma or equivalent education / experience required.
  • Previous experience supporting C-level executives.
  • Experience with computer systems; essential with proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
  • Must possess excellent oral and written communication skills.
  • Use of usual and customary equipment used to perform essential functions of the position.
  • Must be able to work well with all customers, co-workers, and multidisciplinary team members.
  • Must demonstrate a cooperative, courteous, and dependable working performance.
  • Must possess high integrity and proven ability to handle confidential information with discretion.
