Universal Language Service is seeking a full-time Scheduling Coordinator to our high volume same day and next day appointments. This is an onsite position working out of our Bellevue, WA offices working closely with our contact center team ensuring our jobs our being filled for our client requestors. This role is ideal for someone with previous healthcare or social services scheduling experience, with 1-3 years of experience. Language or translations services industry a plus.

DUTIES AND RESPONSIBILITIES :

  • Accept ownership of Spoken Language service requests; manage Spoken Language Interpreters' orders fulfillment, timely updating on status (e.g., pending) and confirming Spoken Language Interpreters' names scheduled with Service Requesters (Customers / Hospitals).
  • Use advanced scheduling techniques to fulfill Spoken Language Interpreter requests as needed.
  • Meet and exceed overall Spoken Language Interpreters orders fill rate (95% benchmark).
  • Meet and exceed Customers' service-level expectations based on their contract requirements
  • Maintain Spoken Language Interpreter related emails and inquiries. (i.e., Jobs Inbox)
  • Manage a high volume of inbound and outbound calls from both interpreters and customers
  • Maintain attention to detail when entering new interpreter service requests. (Data Entry)
  • Maintain close contact with Spoken Language Interpreters and Service Requesters whenever an issue is at stake to ensure job fulfillment.
  • Exercise initiative, discretion, and independent judgment when handling advanced scheduling techniques.
  • Provide additional support and perform duties of Customer Service Representatives as needed; act as a flex team member between Scheduling and Customer Service Representative, Data-Entry, Orders Confirmations and Updates, On-Demand / Pre-Scheduled Language Services.
  • Demonstrate exemplary discipline and work ethic for fellow employees.
  • Promote Universal Language Service's positive reputation in the language industry.
  • Perform other related duties as assigned by management.

QUALIFICATIONS :

  • HS Diploma required
  • Bachelor's Degree (BA) from a four-year college or university, or one to two years of related experience and / or training, or equivalent combination of education and experience a plus.
  • Minimum of 2 years working in a customer service environment.
  • Extensive knowledge of scheduling and working in a healthcare setting preferred.
  • Computer skills required : Microsoft Office Suite and Salesforce
  • PHYSICAL DEMANDS AND WORK ENVIRONMENT :

  • Occasionally required to stand.
  • Frequently required to sit.
  • Frequently required to utilize hand and finger dexterity.
  • Frequently required to talk or hear.
  • While performing the duties of this job, the noise level in the work environment is usually quiet.
  • The employee may occasionally lift and / or move more than 10 pounds.
