REQUIREMENTS:

  • Preparing, organizing and storing information in paper and digital form
  • Dealing with inquiries on the phone and by email
  • Greeting visitors at reception
  • Managing/scheduling meetings
  • Itinerary management and booking travel accommodations.
  • Taking meeting minutes
  • Composing letters and reports as needed for Customers, Employees, or Vendors
  • Printing and photocopying
  • Ordering office supplies
  • Maintaining office systems
  • Collaborate with suppliers and contractors
  • Collaborate with staff in other departments, e.g. finance, HR, AP
  • Analyze invoice/expense reports for accuracy
  • Assisting in problem resolution for all Departments
  • Resolve purchase order, invoice, or payment discrepancies whenever necessary
  • Ensures credit is received for outstanding memos
  • Issues stop-payments or purchase order amendments
  • Verifies vendor accounts by reconciling monthly statements and related transactions
  • Credit card receipt collection and compilation for administrative review/approval
  • Protects organization’s value by keeping information confidential
  • Updates job knowledge by participating in educational opportunities
  • Fleet Management/Tracking
  • Manage DOT compliance and IFTA reporting and record keeping
  • Accomplishes accounting and organization mission by completing related results as needed.
  • Work hours 7:30-4:30 in office

QUALIFICATIONS:

  • High school diploma, or equivalent required
  • Bachelor's Degree in office management, accounting, finance, or related field is a plus
