What are the responsibilities and job description for the Agency Coordinator Remote position at Universal Technical Institute?
Overview
The Agency Coordinator is responsible for assisting students obtain funding from various state and federal agencies if they meet the qualifications.
This position involves working with and through others, while building and establishing strong rapport. The ability to motivate others while being aware of and responsive to their needs is critical to success in this role. Furthermore, a clear style of communication is required to communicate UTI’s policies, programs, and systems.
This is a Remote position
Responsibilities
- Orients the potential student and counselor to all policies and procedures, costs, additional fees, and available student services.
- Ensures that all pertinent federal, state, and local guidelines, as well as internal UTI policies are followed when working with agency students. Secures required documentation for agency recordkeeping. Maintains records to promote efficient data retrieval.
- Prepares scheduled reports regarding ongoing student activity. Notifies counselors of interruptions, graduations, and placements.
- Secures FERPA, Release forms for all Agency students.
- Completes financial needs analysis for Agency counselor/case manager for initial approval of funding as well as for each academic year during student’s training. This means having the ability to analyze the financial aid reports and provide loan, grant information to the agency according to their required format/time frames.
- Run reports – provide and coordinates dissemination of information about students with Agency staff, financial aid, admissions, student services, and accounting departments.
- Creates invoice schedule for all new Agency students after every new start. This requires the ability to calculate the billing amounts and periods and manually enter data the data into the student system to comply with Agency invoicing terms..
- Follows up on past due accounts.
- Other duties as assigned.
Qualifications
Education / Experience
- High school/GED required; some college preferred
Skills
- Excellent interpersonal communication skills both verbal and written.
- Ability to handle multiple tasks in a fast-paced environment where deadlines are essential.
- Strong organizational and analytical skills.
- Ability to use good judgment, problem-solving and decision-making skills.
- Ability to maintain confidentiality and professional decorum.
- Knowledge of personal computer software applications including Word and Excel.
Abilities
- Must be able to lift, carry, push, or pull up to 5 pounds or less 5% of the workday
- Must be able stoop, kneel, crouch, or crawl 5% or less of the workday
- Must be able to talk, see, hear, concentrate, think, learn and reason for all of the workday
- Must be able to sit and walk or otherwise move around for prolonged periods throughout the workday.
- Must be able to use a keyboard and do manual tasks for prolonged periods throughout the workday.
Work Environment
- Work is performed indoors in a climate-controlled environment.
