Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is essential in ensuring smooth operations within the office and providing top-notch support to executives.

Duties

  • Manage executive schedules, including appointments and meetings using Outlook Calendar. Handle all inbound and outbound phone communication
  • Social Media management for busy executives multiple entities
  • Coordinate projects by tracking deadlines, deliverables, and progress updates on multiple clients in the real estate, law and healthcare sectors.
  • Provide exceptional customer service by addressing inquiries and managing communications with clients and stakeholders.
  • Advanced skills in accounting required along with knowledge of Quickbooks, ADP, Bill.com and real estate management software.
  • Utilize QuickBooks and Excel for advanced financial tracking and reporting.
  • Serve as a personal assistant to executives, handling travel arrangements, expense reports, and other administrative tasks.
  • Advanced knowledge and skill with capital raising for business and real estate acquisitions. Ability to read a financial statement is required.
  • Prepare reports, presentations, and correspondence using Google Suite, Microsoft Suite and Intuit Suite applications.
  • Collaborate with team members and freelances to complete projects on time and manage multiple clients in the financial services sector.

Skills

  • Strong project coordination abilities with a focus on meeting deadlines.
  • Proficiency in QuickBooks for financial management tasks is required.
  • Excellent customer service skills with a friendly demeanor.
  • Experience as a personal assistant or in similar roles to a CFO is advantageous.
  • Solid office management experience with an emphasis on organization and efficiency.
  • High level of computer literacy with proficiency in Google Suite, Microsoft suite, Intuit Suite applications
  • Degree in accounting, finance, business required or 3 years of work experience
