Albizu University is seeking qualified applicants for the position of Administrative Assistant for the Psy.D. in Clinical Psychology program. The successful candidate will provide essential administrative support to the program's faculty and staff, ensuring the smooth operation of day-to-day activities. This position offers a dynamic work environment and requires a proactive approach to managing administrative tasks and communication within the program.
Responsibilities:
- Provide comprehensive administrative support to the Psy.D. in Clinical Psychology program, including managing calendars, scheduling meetings, and handling correspondence.
- Prepare and maintain program-related documents, reports, and files.
- Manage requisitions for office supplies and departmental needs, ensuring efficient office operations.
- Answer phone calls, respond to emails, and address inquiries from students, faculty, staff, and other stakeholders.
- Assist with reviewing and processing student-related requests and supporting documents.
- Coordinate communication with students and applicants, ensuring timely updates regarding their requests and concerns.
- Maintain accurate records of student inquiries, responses, and related documentation.
- Enter and update data in university databases, ensuring accuracy and confidentiality.
- Generate and distribute reports related to student engagement, program metrics, and departmental progress.
- Assist in organizing and coordinating student events, workshops, and information sessions.
- Support the planning and execution of outreach activities and promotional events.
- Ensure compliance with institutional policies and procedures related to the program.
- Coordinate departmental meetings, prepare agendas, and take meeting minutes as necessary.
- Provide excellent customer service by addressing inquiries and resolving issues related to the Psy.D. program.
- Perform other related duties as assigned by the Psy.D. Program Director or faculty.
Requirements:
- Bachelor's Degree in Business Administration, Office Management, or a related field preferred.
- 1-3 years of administrative or clerical experience, preferably in an educational or student affairs environment.
- Proficient with Microsoft Office Suite.
- Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
- Excellent verbal and written communication skills, with a professional demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Attention to detail and accuracy in data entry and documentation.
- Customer service-oriented with a friendly and approachable attitude.
- Ability to work independently as well as part of a team.
- Problem-solving skills to address and resolve administrative issues.
