The Graduate School is seeking an Assistant Director of Student Academic Support. This role will oversee academic progress and provide student support, falling under the Academic Affairs division, which encompasses three key areas: records and registration, degree conferral and outcomes, and academic progress and student support. The Assistant Director of Student Academic Support will manage the dissertation and thesis process, the graduate progress reports in EAB, annual doctoral student review process through EAB, create the graduate school year-in-review publication, manage the Distinguished Dissertation and MFA Awards, and manage the reduced course load requests and curricular practical training approvals.

Primary Responsibilities:

  • Manage the dissertation and thesis process.
    • Initial review of submissions and final approval, coordination of student/department documentation, dissertation/thesis website information maintenance, guideline documentation maintenance/updates, create and host the virtual hours, coordinate participation from University Libraries staff, create sessions and present to students related to dissertation and thesis topics, manage the presentation dates/times in Slate along with the communications being sent to departments and students); maintenance and management of the Dissertation and Thesis Brightspace course (includes registration and communication to graduate students, training documentation, administrative forms, Copyleaks review for plagiarism); oversight and primary responder to the etd@albany.edu inbox; manage the semesterly OnBase file review for completed dissertations/theses.
  • Implement and manage the semesterly Progress Reports process through EAB.
    • Primary contact for graduate departments; manage communications related to the process; connect instructors and graduate program directors/administrative staff within the department.
  • Responsible for the Graduate School Year-In-Review publication
    • Coordination with OCM to create an annual publication; query and clean data necessary for the creation of the publication; manage the student inclusion approval process; coordinate with the University Libraries to query data from Scholars Archive; coordinate the printed copies and distribute to departments; provide information to Graduate School marketing staff.
  • Manage the review and process of reduced course load requests and curricular practical training (CPT) for currently enrolled graduate students across all programs.
    • Communicating with the student, academic departments, and other campus offices as appropriate, making decisions on eligibility, and reviewing the graduate bulletin degree requirements for each student.
  • Responsible for the support and administrative process of the Distinguished Dissertation and MFA Awards.
    • Confirmation of recipients, check eligibility, promotion of applications to students and departments, coordination with Director of Finance and Administration to order plaques.
  • Implement and manage the doctoral student annual review process in EAB.
    • Coordinating with ITS to create a process in EAB, coordinate with academic departments to build a review process that accommodates all doctoral programs, or create individual review processes for each doctoral program.
  • Assist with the degree clearance process.
    • Initial reviews done throughout the term and final review after grades have been posted, processing of degree audit exception forms, communicating with departments and graduate students.
  • Assist with the organization and promotion of the Three Minute Thesis competition.
    • Provide managerial and functional support to the Associate Director of Graduate Student Support and Diversity in orchestrating the competition.
  • Other reasonable duties as assigned.

Functional and Supervisory Relationships:

  • Reports to the Associate Director of Academic Affairs
  • Supervises the following positions: None
  • May supervise employees as assigned (if no direct reports at time of filling position)

Job Requirements:

  • Excellent attention to detail, customer service, interpersonal, presentation, oral, and written communication skills.
  • Familiarity with reviewing and analyzing data is key in this position.

Minimum Qualifications:

  • A bachelor's degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization
  • 1 to 3 years of experience in higher education or related field
  • Experience with university systems, structures, credentials, or student services
  • Proficiency with Microsoft Office and proven ability to learn and use new technology, including university systems
  • Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community
  • Applicants must demonstrate an ability to support diversity, equity, access, inclusion, and belonging relative to their role

Preferred Qualifications:

  • A master's degree
  • 3 to 5 years of experience in higher education
  • Experience with student information systems, such as PeopleSoft, DARS, Degree Works, and Business Intelligence, or related software
  • Experience with graduate students

Professional Rank and Salary Grade: Senior Staff Assistant, SL-3, $56,000-$60,000
