Position Overview
The Tryout Coordinator is responsible for managing and overseeing the tryout process for the organization. This role ensures that every player’s registration is accurate and that all tryout procedures run smoothly. The Tryout Coordinator works closely with coaches, staff, and volunteers to execute a structured and efficient evaluation process. Additionally, they oversee administrative duties related to tryouts, including documentation, staffing, and event logistics.
Key Responsibilities
- Tryout Management
- Approve and oversee the tryout procedures to ensure smooth operations.
- Develop and refine tryout processes, recommending improvements to leadership.
- Supervise competitive team tryouts and coordinate volunteers and related staff.
- Documentation & Organization
- Prepare and manage all documents, equipment, and materials needed for tryouts.
- Ensure accurate record-keeping for registrations, evaluations, and player selections.
- Assist in hiring new staff, coaches, and player personnel.
- Oversee sponsorship deals and procurement of uniforms, equipment, and event venues.
- Communication & Coordination
- Distribute registration materials to coaches, evaluators, and volunteers.
- Ensure clear communication with parents regarding tryout expectations and procedures.
- Answer questions from parents and participants about the tryout process.
- Serve as a liaison between the organization, coaches, and families.
- Event Planning & Community Engagement
- Represent the organization at events such as fairs, industry conferences, and charity programs.
- Develop promotional strategies to encourage participation in tryouts.
- Organize and execute special events with the director, including volunteer coordination.
- Draft contracts, sponsorship proposals, and corporate partnership outreach materials.
- Administrative & Supervisory Duties
- Order and distribute training materials for coaches, managers, and parents.
- Oversee event logistics, including guest lists, catering, and entertainment.
- Collect post-event feedback to improve future tryouts.
- Maintain professional relationships with athletes, staff, parents, and the community.
Required Skills & Qualifications
- Strong ability to identify opportunities, develop strategies, and negotiate contracts.
- Team player with excellent communication and presentation skills.
- Experience with outreach and "cold calling" preferred.
- Detail-oriented with a high level of professionalism.
- Entrepreneurial mindset with strong leadership abilities.
- Sales and corporate sponsorship experience is a plus.
- High level of integrity and ability to interact effectively with staff, volunteers, and leadership.

Job Types: Part-time, Contract
