Overview
The primary purpose of the Assistant Manager Business Services is to provide administrative support to the Executive Director Facilities, Maintenance & Construction. This position has administrative responsibility for office management, including, but not limited to, fiscal matters, purchasing, coordination of reports, management of staff, etc. Manages the performance and general operation of hospital Operator Services department.
Responsibilities
- Service provided is patient centered.
- upervises administrative support staff within the department and recommends hiring, firing, promoting, transfer, and discipline of employees. Completes performance evaluations for staff on a timely basis.
- Plans and schedules the work of administrative support staff in Hospital Support Services and ensures maximum effective utilization of employees, equipment, and materials within budgetary requirements.
- Oversees the maintenance of the Executive Director’s calendar and schedule, including, but not limited to, meetings, conferences, vacation, etc.
- Coordinates fiscal procedures to ensure that expenditures are in accordance with allocation of funds. Prepares justification for projected expenditures. Handles procurement processes to ensure compliance with procurement policies.
- Works with senior management on FEMA reimbursements and other various projects related to Hospital Support Services.
- Working with UH purchasing, tracks capital projects for construction and facilities. The scope of the capital projects tracked is approximately $50 million. On an ongoing basis, provides leadership with spending status for the projects provided by Project Managers.
- Assists other Hospital Support Services areas such as Patient Transport, Food & Nutrition, etc., with resolving issues regarding purchasing and resolution of invoices. Audits invoices for Hospital Support Services to help ensure accuracy of billing to UH.
Qualifications
JOB REQUIREMENTS: Bachelor’s Degree in Business, Finance, Administration, Healthcare, or a related field required. Three (3) years of progressively more responsible professional administrative support experience required, preferably in a healthcare environment or large business office. Experience should include budget, procurement and purchasing responsibilities. Ability to multitask and prioritize activities is a must. One (1) year of supervisory experience required. Must possess excellent written and verbal communication skills. Demonstrated knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) required. Additional related professional experience may be substituted for the degree on a year-for-year basis.
Credential required: Bachelor’s DegreePHYSICAL DEMANDS: This position requires standing 2/3 of the time, walking to 2/3 of the time, requires sitting over 1/3 of the time, use of hands to finger, handle, or feel over 2/3 of the time, each with hands and arms 1/3 of the time, talk or hear over 2/3 of the time. Position requires lifting up to 10 lbs. up to 1/3 of the time. There are no special vision requirements.
