The University of Alabama at Birmingham (UAB) O’Neal Comprehensive Cancer Center is seeking a Grants Administrator II-HSOM. The Grants Administrator will prepare and submit fully populated and complete sponsored research proposals for an assigned department within the School of Medicine (SOM). They will also create grant budgets, prepare and submit documents to OSP, work in partnership with investigators to update and complete other support, and biosketch documents. To provide technical expertise and guidance to investigators in assigned area.

The O'Neal Comprehensive Cancer Center is the only NCI-designated comprehensive cancer center in Alabama and in the Deep South region. A comprehensive designation also means UAB Medicine patients have access to leading-edge treatments or clinical trials that they may not otherwise have at local community hospitals or smaller cancer centers. For many, an NCI designation can hold the key to survival. On campus and around Birmingham, the O'Neal Cancer Center is a significant part of our economic powerhouse. The O'Neal Cancer Center powers more than 400 scientists and physician-scientists, cares for 20,000 patients annually, and is home to more than 160 employees, plus all the physicians and clinical staff engaged in cancer patient care. Key Duties and Responsibilities

  • Serves as a trusted point-of-contact on communications related to pre-award activities. Effectively liaises with sponsor agencies, sub-award sites, internal groups and programs, and O'Neal leadership and staff.
  • Prepares, refines, reviews, and submits fully populated and complete sponsored research proposals for O'Neal faculty. Provides direction and explanation of pre-award requirements.
  • Develops, prepares and advises investigative teams on project budgets. Edits required budget justifications. Determines and calculates faculty and staff effort on sponsored projects. Determines, calculates and verifies project indirect costs and the appropriate exclusions. May include clinical trial budgeting and other complex budget development (e.g., multi-component and cost sharing)
  • Proactively monitors milestones of the collaborative team and alerts the Director and PI of any deviations of the project timeline to ensure multiple teams across various departments are successful during the proposal development submission process.
  • Works in partnership with investigators to request and procure, edit and upload NIH biographical sketches (NIH Biosketch). Completes Office of Sponsored Programs (OSP) checklists and other OSP required forms. Procures and edits NIH Other Support forms.
  • Reviews the drafts of all grant components. Provides copy edits and suggests revisions to all administrative materials included in an application.
  • Edits and collects letters of support (LOS), facilities and resources (FR), and all other institutional attachments in research proposals.
  • Facilitates sub-award submissions, including initiating requests for sub-award agreements, building and submitting budgets, justifications, and scopes of work.
  • Supports supplement applications on active awards (prepares, refines, reviews, and submits fully populated and complete supplement proposals for O'Neal awards).
  • Facilitates sub-award maintenance, including issuing annual amendments, collect applicable regulatory approvals, and ensures successful invoicing (along with post-award teammates).
  • Manages award/program administrative upkeep, including holding monthly team meetings, facilitating other periodic stakeholder meetings (e.g., annual EAB meetings) and ensuring minuets and notes are retained.
  • Manages the Pilot application processes for complex awards with their own pilot funding. Including distribution of RFAs, collection of applications, facilitation of review, providing awards, and managing pilot lifecycles within the larger grant cycle.
  • Proactively monitors milestones of the collaborative team and alerts the Director and PI of any deviations of the project timeline to ensure multiple teams across various departments are successful during the active grant cycle.
  • Submit internal forms for OSP record extensions and annual account cycles (NCE, At-Risk, new tasks)
  • Works in partnership with investigators to request and procure, edit and upload NIH biographical sketches (NIH Biosketch and NIH Other Support forms and other documents necessary for annual progress reporting.
  • Uses productivity tools, such as Asana, Trello, MS Teams, and Excel, to track and discuss project progress with the Director and PI.
  • Performs other duties as assigned.

Salary range: $52,555.00 - $85,400.00


Qualifications

Bachelor's degree in a related field and three (3) years of related experience required. Work experience may NOT substitute for education requirement.
