The University of Alabama at Birmingham (UAB) is seeking a GRANTS ADMINISTRATOR SPECIALIST-SON to operate with a high degree of independence, under minimal supervision, this position is responsible for multiple departments' research project administration, financial operations, policy enforcement, pre- and post- sponsored research submissions. To provide training, mentoring, and support for special projects to grant and contract administrators. To assist with budget development, reconciliation, agency guideline interpretation, file management, and all documentation related to various progress reports, just-in-time submissions, along with no-cost extensions, data use agreement submissions, and contractual agreements. Additionally, assists multiple departments with requisition assistance for purchasing grant related items and compliance relative to University and sponsor policies and program announcements.
This position will assist with the management of departmental sponsored programs' activities (interaction with departmental and centralized grant administration and grant accounting personnel activities.)
1. Prepares and reviews internal and external research submissions for adherence to established institutional policies and procedures, compliance with funding opportunity announcements and sponsor guidelines, accuracy, completeness, and timeliness. Develops and reviews proposed budgets and budget justifications; calculates faculty effort on sponsored projects; calculates and verifies project indirect costs. Manages and facilitates subcontract submissions. Responsible for timeline development, file management, and administratively managing multiple large or complex grant program applications and awarded programs. Prepares submissions in sponsor online portals. Manages a variety of research-funded related program activities. Update and maintain service unit internal databases.
2. Manages post award activities for several assigned grants, including: reconciles accounts on a monthly basis, resolving discrepancies; communicates with faculty on any project-related issues; processes salary reclassifications and funding source changes; effort reporting and recertification; Over The Cap compensation reporting; prepares and reviews quarterly/monthly invoices, communicates with sponsor on project invoicing issues; processes grant-related payment requests, purchase order requisitions, travel reimbursements and any other grant-related financial transactions; prepares, submits, and processes re-budget requests; ensures grant budgets are maintained and spent according to sponsor guidelines while adhering to UAB policy.
3. Serves as a resource for grant personnel responsible for post award management and reconciliations, including researching and resolving issues. Provides direction to investigators regarding submission of annual reports and final report closeouts. Provides input and guidance to investigators regarding Uniform Guidance Compliance and ensures awards are managed within program guidelines.
4. Oversees financial operations for multiple externally funded programs. Analyzes data to provide input in the future objectives. Identifying research/education funding for the programs. Reconciles accounts on a monthly basis, resolving discrepancies, processes ACT documents as needed and communicates with senior management on any issues.
5. Works to develop initiatives and ideas to further grow and develop the SON Research Office. Assists with new objectives that are established. Cultivates relationships with SON faculty and staff and the Office of Sponsored Programs and external institutions, foundations, and community partners.
6. Provides technical training and assistance to faculty and grant staff. Ensures faculty and staff are aware of regulatory and compliance policies both within UAB and outside agencies. This includes providing direction and explanation of effort reporting policies and procedures and other support documentation for external sponsors. Assists with new faculty on-boarding and training.
(Annual Salary: $52,555 - $85,400)
Bachelor's degree in a related field and five (5) years of related experience in grant, contract, and/or program coordination. Work experience will NOT substitute for the educational requirement. Master's degree is preferred.
An individual that has Oracle financial module certifications is preferred. Well developed interpersonal skills are desired as this position requires communications using a variety of media, with internal and external constituencies. Individual should be proficient in reading and writing English. This individual must be detail oriented, initiative driven, and adhere to professional accountability. Proficient in MS Word, Excel, Power Point, Outlook, Adobe, and internet search capabilities are highly desirable. All work performed must be in accordance with SON and UAB policies and procedures and UAB Enterprise Code of Conduct.
