Administrative Specialist II must also have the ability to respond independently to constant challenges and changes
while maintaining discretion and professionalism at all times. In order to provide effective and efficient services,
the Administrative Specialist II is expected to be flexible, maintain confidentiality and use tact and diplomacy at all
times. The Administrative Specialist II is responsible for researching and preparing special reports, examining and
verifying documents, and performing general office duties. This position is governed by state and federal laws and
institution policy.
General Responsibilities:
Researches various data storage and/or computer records to obtain information and compiles data for reports
Assist Facilities staff with travel arrangements and reimbursements
Provides reception and general administrative support for the Physical Plant department
Responds to inquiries made in-person, by telephone or by email and makes appropriate referrals both within and outside the department
Maintain an organized filing system
Maintain scheduling appointments
Welcoming and assisting vendors and other visitors
Maintains all office equipment in working order
Ensures supplies and equipment are ordered in a timely manner
Participates as needed in campus wide activities for the Physical Plant department
Maintains meeting minutes as needed
Other duties as assignedQualifications:
Minimum Qualifications:
- The formal education equivalent of a high school diploma
- Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft word, excel, access, and power point.
- One year of experience in specialized or related area applicable to work performed
Preferred Qualifications
- Three years of experience in specialized or a related field applicable to work performed.
