Key responsibilities include coordinating the purchase of supplies, equipment, and services, processing requisitions, managing payments, and reconciling accounts for departmental events, and faculty/staff travel. The assistant will monitor departmental budgets, track expenditures, prepare financial reports, and maintain records for auditing and reporting purposes. They will also assist faculty and staff with financial forms, processes, and inquiries.
Additionally, the Administrative Assistant III will provide direct support to the Director, including managing and maintaining their schedules, coordinating appointments, and modifying schedules as necessary. The role also involves managing Slate admissions for Online and Graduate programs, including creating files, requesting documents, scheduling interviews, and facilitating communication with faculty, staff, and students.
This position requires strong organizational, financial, and communication skills, with a focus on ensuring smooth administrative and financial operations within the School of Nursing.
Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.Qualifications:
Minimum Qualifications:
The formal education equivalent of a high school diploma
At least one year of specialized training in business administration, finance, accounting or a related field
Experience with financial management systems, procurement and budgeting processes
Preferred Qualifications:
Bachelor's degree from an accredited institution of higher education
Familiarity with financial policies and procedures, particularly within higher education
Experience managing schedules and providing direct support to senior staff or directors
Experience with Slate admissions or similar student management systems
Knowledge, Skills, & Abilities (KSAs):
Basic knowledge of accounting and finance
Computer competency requiring word-processing, spreadsheets (e.g., Excel, SPSS), and database software knowledge and experience
Ability to prepare, present, and review oral and written information and reports
Ability to research and analyze related work program information
Ability to develop, recommend, interpret, and apply policies and procedures
Ability to analyze financial records and prepare reports
Ability to plan, organize, and direct the work of others
Ability to navigate Microsoft Office software scheduling.
