Summary of Job Duties:The Senior Research Assistant/Project Manager is a full-time benefits eligible position with the Office of the Provost who is responsible for overseeing the office, coordinating events, and maintaining the academic space use database. This position is a direct report to the Provost's Chief of Staff. This position is governed by state and federal laws, and agency/institution policy.Qualifications:

Required Education and/or Experience:

  • Bachelor's degree;

  • Three or more years of relevant professional experience;

  • Knowledge of WordPress, adobe, and website development.

Preferred Education and/or Experience:

  • Two or more years of staff experience in a higher education setting. Workday experience and Canva.

Job Duties and Responsibilities:

Communication

  • Serves as the primary point of contact at the front desk;

  • Accurately and professionally provides information and follow up to students, staff, faculty, and the public;

  • Routes inquiries to the correct campus office and point of contact;

  • Communicates respectfully, professionally, and accurately to internal and external stakeholders;

  • Establishes and maintains Academic Affairs Events website.

Project Management

  • Arranges travel for the Provost Office staff and administrators via accurate use of Workday and procurement guidelines;

  • Manages office equipment, supplies, purchases, and AVC calendars;

  • Works collaboratively with members of the Provost Office staff on assigned projects;

  • Provides general office support for the Associate Vice Provosts;

  • Schedules Academic Affairs internal and external events into a centralized calendar;

  • Ensures Academic Affairs events are reflected accurately on the university calendar and are communicated to the Office of the Provost and the Office of Communications;

  • Ensures that no Academic Affairs events conflict with university or system events;

  • Establishes and maintains a centralized repository of external and internal event scheduling guidelines and serves as the point of contact for questions regarding event guidelines and scheduling;

  • Establishes and maintains a centralized repository of campus space that can be utilized for events - including but not limited to: entity responsible for scheduling space use, room or outside space capacity, set up equipment available for use, technology and technology support for each space, and special consideration for use of the space, etc.;

  • Assists with Provost Office sponsored events. Including, but not limited to: generation and distribution of invitations, maintaining rsvp listings, planning event details, and implementation;

  • Establishes and maintaining relationships with vendors and venues;

  • Maintains an accurate inventory of academic affairs space use and availability;

  • Assists with annual review of space conditions, improvement needs, and potential reallocation options to maximize reusable M&R furniture/equipment;

  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • Proficient in technologies including, but not limited to Microsoft Office Suite;

  • Ability to establish positive and respectful working relationships with students, faculty, staff, and administrators;

  • Keen attention to detail;

  • Strong technical documentation skills;

  • Excellent interpersonal, oral, and written communication skills;

  • Ability to work independently, without direct supervision; organize workflow, prioritize tasks, and complete projects by target dates.
