This position is a member of the Events & Space Management team of four and also partners closely with the Haas Academic Scheduling team. Together we support the goals and challenges of Haas by providing operational services for our many Haas community stakeholders, including professional and ladder faculty, UG and Graduate students and our staff. Scheduling and assigning space for events in both our classrooms and event venues will be the primary responsibilities of this position, and the individual hired will both apply policy and process in executing their work as well as be a part of a team that has the opportunity and responsibility for ongoing assessment and improvement of space optimization policy and process to best serve our Haas stakeholders. This position requires a high level of diplomacy and interaction with stakeholders at all levels. The incumbent must communicate effectively and work collaboratively with colleagues across the organization. We are seeking a self-motivated problem solver who is able to learn quickly and independently.

Responsibilities
Provides guidance and follow through to staff, students and faculty on procedures, practices, and implementation of policies regarding classroom and event venue reservations. Work closely with the Director of Events & Space Management on tasks including accurate use of data within spreadsheets and utilization of the Event Management System (EMS) for events, class schedules, and finals schedules. Work closely with the Haas Instructional Analyst on tasks including: reserving room blocks for ad-hoc reservations; entering one-time reservations for special class meetings in rooms. Responsible for compiling and arranging spreadsheets using subject-matter knowledge of the material to ensure EMS data results are consistent and accurate with the course schedule import. During academic scheduling periods, monitor spreadsheet for incoming classroom requests and respond through EMS/email by assigning tentative requests and working closely with Haas Instructional Analyst to ensure academic course changes/updates are prioritized and up to date. Edits and proofreads written materials for content consistency. Stay informed and actively seek out information on campus policies and procedures, and amplify timely updates on campus and unit policies and procedures. On a continuing basis, monitor SPA email account for conflicts with space, new requests or room changes. Confirm classroom and event venue reservation requests which includes sending room guidelines, insurance forms, cleaning and permit process. Respond to other requests with written communication for other spaces as needed, including Group Study Rooms and Conference rooms. Work with department management to update/review/revise website to better communicate organization's mission, requiring substantive knowledge of organization's goals and objectives.

Required Qualifications
Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills. Demonstrated experience providing excellent customer service and administrative support in a customer service environment. Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications. Ability to work independently, often under pressure of multiple deadlines and ability to prioritize workflow. Must be highly detail-oriented.
