Referral Coordinator (BLANK AST 3)

Under general supervision of the Small Animal Client Services Supervisor, independently maximize the efficiency of a Specialty Service by acting as the referral/client service coordinator, liaison with the Reception Desk, Medical Records and the support services of the Small Animal Clinic. Receive calls from owners and referring veterinarians to determine the state of an animal (i.e., emergency/life threatening). Coordinate complex schedules of many services that may include scheduling one or multiple diagnostic procedures as prescribed by the clinician. Schedule clinician appointments, triage client appointments, assist technicians with the coordination of clinical procedures with clients. Review and confirm client estimates and assist in billing when needed.  Follow up with service to ensure prompt and courteous communication with referring veterinarians and clients.

RECRUITMENT PERIOD ONE MONTH: Applicants will be screened after two weeks; and then on a weekly basis. The position can be filled prior to the removal date.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Experience coordinating all types of appointments in a veterinary or medical environment.

  • Ability to determine procedures, selecting methods, implementing policy applicable to clients/patients, receiving services and negotiating with clinicians and support services to provide appropriate and timely testing and treatments.

  • Knowledge of medical conditions and medical terminology to communicate with owners and veterinarians and knowledge of disease processes.

  • Skill to constantly evaluate clinicians' needs on a minute-to-minute basis and provide adequate response.

  • Skills to determine priority needs and ensure the most efficient use of medical and technical personnel.

  • Interpersonal, oral and written communication skills to communicate diplomatically, professionally, and utilizing medical terminology.

  • Skill to review receiving and procedure schedule on a continual basis to minimize scheduling conflicts.

Preferred Qualifications

  • Skills to triage without diagnosis/prognosis. Skill to coordinate procedures with various Small Animal Service units.

  • Knowledge of computer systems. Skill to manage telecommunications and voice mailbox management.

  • Knowledge of technical and professional functions of the VMTH Small Animal Clinic.

The Veterinary Medical Teaching Hospital (VMTH) is a unit that provides clinical case material in support of the teaching programs throughout the School of Veterinary Medicine on a 24-hour basis. Its primary objectives are to train professional (veterinary) students, graduate clinical students (interns and residents), and graduate academic students; to provide veterinary services to the public; to serve as a referral center for practicing veterinarians, and to advance veterinary medical knowledge.

Work Environment
