The UCLA Graduate Writing Center (GWC) is an initiative of the Graduate Students Association (GSA) and managed by Student Affairs to support graduate and professional student success. The GWC, in partnership with the Graduate Student Resource Center (GSRC), provides year-round services and programs for all graduate and professional students to support their development as effective writers, presenters, and communicators in their fields.

Position Summary

The GWC Program Specialist will manage and coordinate writing consultation efforts by effectively engaging with diverse Graduate Student staff and constituents, and utilizing culturally competent frameworks to fulfill the GWC mission – to help graduate and professional students become effective communicators in their fields. The Program Specialist collaboratively manages and provides programmatic support for student staff, events, and writing consultation efforts, which includes supervising student staff, managing the consultant appointment system, and planning and implementing workshops, programs, and communication with stakeholders. This position also supports the effective functioning of office operations, procedures, and resources, and provides back-up support for similar GSRC tasks and programs.

  • UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Qualifications

  • Ability to learn best practices for graduate writing and communication support and sensitivity to diverse graduate and professional student backgrounds and experiences. (Required)
  • Demonstrate strong interpersonal skills to interact diplomatically and effectively with graduate and professional students, student and professional staff, and other stakeholders and constituents with diverse backgrounds. (Required)
  • Excellent organizational skills to work effectively within a complex, rapidly changing environment and to manage a range of active projects and responsibilities with changing priorities and deadlines. (Required)
  • Ability to work independently and in teams to organize and complete assignments, manage multiple projects, and set and manage priorities with minimal direction; ability to work occasional evenings and weekends required. (Required)
  • Possess strong organizational and project management skills; ability to work with a high level of detail in procedures, documents, and data files. (Required)
  • Familiarity and experience with managing logistics for in-person and virtual events and meetings, including venue arrangements, Zoom protocols, attendee management, catering, on-site coordination, etc. (Required)
  • Demonstrates excellent writing, proofreading, and editing skills to compose and edit correspondence and official University documents such as reports and presentations. (Required)
  • Demonstrates strong proficiency in MS Word, Outlook, Excel, PowerPoint to prepare text documents, charts, spreadsheets, and memoranda with speed and accuracy. Ability to learn new software programs and technologies quickly. (Required)
  • Working knowledge of basic principles for financial record keeping and processing financial transactions. Knowledge of UCLA accounting, travel, purchasing, facilities management and event related university policies, procedures and systems. (Preferred)
  • Demonstrates proficiency with maintaining websites, graphics programs like Canvas, learning management systems, and publication programs, or capacity to learn them. (Preferred)
  • Knowledge of approaches to developing promotional materials and managing communication channels such as email listervs, newsletters, social media as well as their metrics. (Preferred)
  • Understanding and experience working with graduate students and their specific needs in a university environment. (Preferred)
  • Education, Licenses, Certifications & Personal Affiliations

  • Bachelor's Degree in related area and / or equivalent experience / training (Required)
  • Master's Degree in related area (Preferred)
