The UCSF Department of Otolaryngology-Head and Neck Surgery (ONHS) at the University of California, San Francisco is a recognized leader in clinical care, research, and education. The Department of ONHS consists of 9 clinical divisions performing ~83,000 procedures including General Otolaryngology; Pediatric Otolaryngology; Head & Neck Oncologic Surgery & Endocrine Surgery; Laryngology; Otology / Neurotology, & Skull Base Surgery; Rhinology & Sinus Surgery; Facial Plastics & Reconstructive Surgery; Sleep Surgery; and Audiology. Outpatient and inpatient clinical activities are performed across 7 sites across the SF Bay area - Mt. Zion, Mission Bay, Benioff Children's Hospital Oakland, Zuckerberg San Francisco General, San Francisco VA, Redwood Shores, and Berkeley Outpatient Clinic. The Department of OHNS also consists of 5 research laboratories with ~$11M in sponsored research revenue in FY24 / FY25 - Coleman Memorial Laboratory, Speech Neuroscience Laboratory, Epstein Laboratories, Head & Neck Cancer Research, and Skull Base and Cerebrovascular Lab.
The department consists of approximately 50 faculty members and 105 non-faculty academic and staff employees, including postdocs, visiting scholars, clinical volunteers, emeritus faculty and staff volunteers, 25 residents & 4 fellows, with a total annual budget of ~$44 million. The department has experienced rapid growth and has increased faculty by >
20% in the last year. Additional recruitment and lab expansions are planned over the next three years.
Key Responsibilities :
- Directly supervise the work of on-site program coordinators with responsibility for the quality and quantity of work. Monitors progress and ensures consistency across centers.
- Supervises administrative site coordinators to operationalize site recruitment, development, and implementation to ensure support and infrastructure is consistent and in compliance with program standards.
- Responsible for the daily oversight and supervision of the ACGME (Accreditation Council for Graduate Medical Education) accredited residency program in Otolaryngology - Head and Neck Surgery, as well as four fellowships in Laryngology, Facial Plastics & Reconstructive Surgery, Pediatrics, and Head & Neck Cancer.
- Ensures the continued growth of these programs in partnership with program directors, faculty, and GME (Graduate Medical Education) office in the School of Medicine to ensure compliance with University policies and procedures, compliance with the ACGME, and any other certifying bodies (Board of Otolaryngology - Head and Neck Surgery, American Head and Neck Society).
- Ensure that new program offerings have essential components required for Continuing Education credit.
- Leads program pilots to ensure programs are fully functional in accordance with school term schedules.
- Works with faculty to conceptualize and develop workplace learning experiences for learners and implements systems to evaluate site-based learning experiences.
- Manages a health professions education program through organizing and delegating to the team to design, conduct, and evaluate teaching and learning activities, scheduling, core competencies, assessment, and evaluations.
- Plans and leads the implementation of program improvements, where operational or program results can affect overall organization-wide performance and reputation.
- Supervises and oversees all programmatic areas within Otolaryngology, including medical student education, ACGME residencies, fellowships, non-ACGME programs, visiting professors and scholars, summer interns / volunteers / affiliates, GME observerships, and all educational programs for Otolaryngology.
- Monitors, tracks, and communicates with faculty and learners, coordinates recruitment of faculty, and integrates learners into program sites.
- Oversees continuous process improvement at all sites.
- Acts on behalf of and makes decisions within the prescribed limits of authority of the Chief Administrative Officer.
- Troubleshoots and resolves access issues across multiple systems (e.g., E
- Value, APEX, or other clinical systems, door access) for all department learners.
- Supports students and faculty to operationalize site recruitment, development, and implementation.
- Serves as the first point of contact for learners and faculty regarding questions, concerns, access, scheduling changes, infrastructure needs, and placement problems.
- Works with the Medical Board of California, UCSF Human Resources, UCSF Medical Staff Credentialing, and the ISSO to resolve medical licensing and visa issues for incoming learners (residents, fellows, and other scholars).
- Possesses advanced knowledge of ACGME and / or GME policies (as well as other accrediting bodies) and works with trainees and program leadership to meet deadlines for annual, biannual, and monthly paperwork submission.
- Serves as a subject matter expert for all visa questions and operational policies.
- Participates in the selection, development, and evaluation of staff to ensure efficient operations.
