What are the responsibilities and job description for the Employment Specialist position at University of California San Francisco?
The anticipated duration is approximately 6 months. Will include optional medical benefits, holiday pay, sick leave accrual and vacation accrual.
Under the general supervision of the HR Employment Manager, the Employment Specialist coordinates and oversees the entire new hire onboarding process from start to finish, meeting the needs of both the new hire and hiring manager.
Key Responsibilities:
- Troubleshoots issues and ensures completion of all new hire documentation within HR systems.
- Serves as the primary contact for new hires and guides them through the entire hire process.
- Shares responsibility for new hire visits and assists with organizing and facilitating the monthly New Employee Orientation.
- Reviews and analyzes union contracts for each employee to determine correct seniority date, probationary period, and other contract-related questions during all phases of employees’ work cycles.
- Oversees Joint Commission files as one of the main contacts.

Additional responsibilities include:
- Initiating the offer within BrassRing.
- Authorizing and verifying background check results.
- Generating an employee identification number.
- Coordinating with Occupational Health Services.
- Verifying and processing employee database changes (Management Actions).
- Verifying experience in the Registered Nurse (RN) and Patient Care Technical (PCT) experience forms.
- Verifying and approving i9 documents.
- Conducting primary source licensure verification.
- Generating welcome letters.
- Facilitating employee transfers within Health and other UC’s.
- Reviewing and consulting departments on appointment changes, funding/allocation changes, and tracking/signing off on sign-on and employee referral bonuses.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range. Required Qualifications
- Analytical skills to conduct analysis and develop recommendations.

- Has working knowledge of other areas of HR.
- Knowledge of organizational policies and procedures and knowledge of functional area.
- Basic knowledge of human resources policies and programs, and how they affect other organizational policies and procedures.
- Knowledge of a human resources management system (HRMS), and / or other related business software programs and systems.
- Proficient in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments. Demonstrated ability to handle difficult or volatile situations / individuals effectively.
