Examples of Duties
- Under the direction of the supervisor, play a role in advancing the university and Alumni Foundation strategic plans by developing and sustaining a culture of engagement for students, alumni, and the campus community.
- Support significant, high-level events with exceptional customer service with internal and external partners while serving as a respectful representative of the Alumni Foundation.
- Facilitate open communication and constructive collaboration to intentionally engage the University (colleges and units) and alumni community.
- Be (or become) proficient in utilizing event planning software, constituent database system, web development/design, managing multiple email accounts, and additional software as assigned.
- Use the constituent database to track alumni engagement which measures success in achieving our mission. Alumni engagement goals are set annually and evaluated often.
- Research, develop, and implement new ideas to increase engagement.
- Manage and coordinate committees to aid in effective event planning and goal achievement. Serve on ad-hoc committees when assigned.
- Provide excellent attention to detail to ensure accuracy of event logistics and event functions for assigned events from conception to completion, which may include pre-event developing, organizing, publicizing, implementation, on-site management, stewardship, and post-event follow-through.
- Conduct evaluations post-event to assess customer service provided, effective event management occurred and overall outcomes objectives were met.
- Inform colleagues of opportunities for further engagement with constituents into other alumni engagement types.
- Work with preferred university vendors or external partners for all catering and set up needs.
- Lead event functions for unique engagement opportunities as assigned by the supervisor, such as hosting national watch parties, tailgates, golf tournaments, student recruitment campus visits, significant signature events, and other duties as assigned.
- Facilitate fundraising events by implementing fundraising best practices, track event contributions, sponsors, invoices,
- maintain event timelines, manage expenses, and collect event information including sponsor logos, dietary restrictions, and guest names.
- Managing outreach for auction donations and in-kind donations along with coordinating delivery and tracking auction details. Drafting auction descriptions and handling auction displays.
- Assist with developing budgets for events, including setting and meeting revenue goals, tracking expenses, and soliciting sponsorships for events to ensure that events are budget neutral or revenue-generating.
- Coordinate with communications staff to create and facilitate a comprehensive marketingplan and other event pieces to include, if appropriate: print pieces, mail pieces,electronic pieces, use of social media, and phone calling to ensure successfulMarketing. Identify target groups to be invited to events and determine the list of those who will be invited and communication mode for how they will be invited.
- Directly support MuleNation Chapters identified in alumni saturated markets. Explore forming new chapters based on data of alumni in prospective areas.
- Frequently travel to key markets for on-site support of chapters and volunteers.
- Guide MuleNation chapter meetings, chapter operations, leader and volunteer assignments along with coordinating 15 events annually and facilitating chapter needs.
Provide oversight of the development, planning, and evaluation of a comprehensive volunteer program, which offers opportunities for alumni to support the University’s mission and increase Alumni Foundation engagement to include: -45%
- Conceptualize and plan remote and in-person volunteer opportunities for alumni toparticipate in.
- Recruit, train, appoint, and steward alumni who will serve as volunteers through a variety of engagement opportunities that include, but are not limited to; academic programs, career services, event planning, fundraising, student recruitment, and advocacy.
- Uphold the standards of the volunteer program by providing educational opportunities, utilization of a volunteer code of conduct, development of volunteer resources, review of volunteer performance, and implementing new tools when needed.
- Track all volunteer participation with UCM, regardless of whether the service is performed on or off-campus.
- Create and implement a volunteer recognition program.
- Maintain budget for volunteer programming.
- Conceptualize and plan remote and in-person volunteer opportunities for alumni to participate in.
- Collaborate with campus partners to expand programming and implement new initiatives to connect alumni to students (such as hosting prospective student dinners or serving on program advisory boards).
- Actively participate in all events, staff and board meetings, and professional development activities, as directed by supervisor.
- Maintain familiarity with industry best practices, trends in alumni engagement, event management, fundraising, and other not-for-profit trends.
- Adhere to all university and alumni office policies and procedures to ensure safety and accountability.
- Manage the work assignments of student employees and other administrative staff when working on projects.
- Process contracts and negotiate costs and services provided by service centers and off campus agencies.
- Serve as the liaison to the UCM Athletic department to cohost engagement opportunities.
- Carry out other duties as assigned to promote the general welfare of the Alumni Foundation, the university, and its constituents.
- Be a team player and contribute to overall Alumni Foundation day-to-day operations.
- Play a role in recruiting, hiring, training, supervision and evaluation of the alumni engagement and events team.
Typical Qualifications
Education:
- Bachelor’s degree in hospitality, marketing, tourism, public relations, not-for-profit management or related field.
Experience:
- Two (2) years experience in, and knowledge of events, volunteer-management, marketing, alumni relations, or public relations required.
- Two (2) years of experience working in higher education or other not-for-profit preferred.
