General Schedule:
Position typically works Monday-Friday from 8am-5pm in-office at UCO's main campus in Edmond, Oklahoma
Position Overview & Job Duties:
Processes graduation applications and verifies the accuracy of the information entered into the system for various production purposes. Schedules the production of various graduation lists to support differing needs within the office and within the university community. Determines class marshals for fall and spring semester graduates based on institutional policy and disseminates class marshal information within the university community. Supports the degree clearance process three times each year and post awarded degrees as cleared by Degree Certification by the scheduled deadlines. Prepares graduation diplomas for distribution three times a year, following official graduations in May, August, and December. Processes duplicate diploma requests for both undergraduate and graduate degrees.
- Routinely answers questions and provides information and data regarding commencement ceremonies, diploma distribution, determination of graduation honors and ranking, and current and historical statistical information about graduation and graduates.
- Interfaces with the University Bookstore, Information Technology, University Relations and the Assistant Vice President for Academic Affairs in support of commencement activities including ensuring the Mace and Medallion are at the Field House for each ceremony, and assisting with the “Old North Walk”.
- Records accepted transfer credit from international institutions and Prior Learning Assessments to the UCO transcript.
- Enters into Banner articulation information from advisors and ACDC staff.
- Performs other related duties as assigned.
Qualifications/Experience Required:
Bachelor’s degree in job related field plus 3 years of work experience or equivalent combination of education and experience.
Knowledge/Skills/Abilities:
Excellent public relations, communications (both oral and written) and organizational skills. Familiarity with computer software programs. Must demonstrate a warm and caring professional attitude along with phone etiquette protocol. Ability to relate effectively to a diverse student population as well as to various members of the higher education community. Ability to effectively work during extremely busy and stressful periods. Good records management skills. Good computer skills. Ability to maintain confidential information and work effectively as part of a team. Must be detail oriented. Ability to use office machines and equipment pertinent to the efficient and effective operation of the office. Ability to listen and synthesize directives.
