The job administers programs in student affairs activities, including orientation and onboarding programs for incoming students. Acts as the primary point of contact for student inquiries. Uses a moderate/high level of understanding in student affairs to develop future enrollment strategies using admissions and financial aid data.

The Graduate Student Affairs Administrator acts as the primary point of contact for student inquiries. Uses a moderate/high level of understanding in student affairs to develop future enrollment strategies using admissions and financial aid data. The person in this role will act as the main point of contact for PhD students and prospective graduate students. This role also includes organizing orientation and recruitment activities for incoming PhD students, as well as coordination on student affairs projects.

Responsibilities
- Manages, in tandem with the faculty admissions chair, the admission review process,
- Works closely with the SSD Dean of Students office and UChicagoGRAD.
- Maintains electronic records, compiles information, and creates reports to assist in the PhD Program Admission Committee’s selection process.
- Coordinates Visit Day for prospective students and an Autumn orientation for entering doctoral students.
- Manages timeline of each student’s program requirements, including teaching requirements and other student employment.
- Advises graduate students regarding departmental PhD requirements; works closely with the Director of Graduate Studies to monitor individual student progress; notifies students regarding late requirements and necessary actions toward remediation.
- Assists graduate students with course registration issues/adjustments; collects quarterly progress grades from faculty for their advisees.
- Facilitates the quarterly degree-audit process for graduating PhDs in coordination with the Dissertation Office.
- Coordinates the assignment of Teaching Assistantships to support faculty instructors and assist graduate students in fulfilling the department’s teaching requirements; processes TA appointments.
- Serves as department point person for implementation of the Collective Bargaining Agreement (CBA) with the Graduate Student Union, working closely with the SSD Dean of Students Office and UChicagoGRAD.
- Maintains student and department records.
- Arranges examinations, hearings, and defenses, and communicates results to SSD Dean of Students office and others as required.
- Maintains/updates Department’s “Graduate Student Handbook” and program requirement information on department website and in Graduate Announcements.
- Supports Sociology Departmental Assistant in scheduling courses and maintaining department course records.
- Supports professional development, preparation for job market, and student life.
- Solves problems in areas such as academic and administrative policy, graduate student admissions, curriculum research and development, and budget development.
- Recommends process improvements for programs that relate to critical graduate student-life improvement, including emergency management, accommodations for students with disabilities, and/or the administration of health care services and programs for graduate students.
- Collaborates with academic divisions in educating graduate students on safety issues. Interprets graduate student disciplinary issues and prepares an annual university summary of disciplinary actions. Counsels graduate students, parents, and staff in response to concerns, and handles complex situations including student crises.
- Performs other related work as needed.
