Job Summary:


This position is a senior student affairs leader for MS, PhD, certificate, credential, and non-degree students at the University of Colorado Anschutz Medical Campus Graduate School. The Assistant Dean will work with the Associate Dean and Dean of the Graduate School to ensure consistent and equitable application of Graduate School policies, procedures, and practices in the areas of recruitment, admissions, matriculation, and student progress. The individual in this role is expected to provide strategic leadership to cross functional project teams, stakeholders, and senior leaders within the Anschutz Medical Campus and to align processes and goals with broader campus initiatives.

JOB SUMMARY

  • Provide strategic direction and oversight for recruitment, admissions, application and student record technology systems, matriculation, and student progress.
  • Work collaboratively with Graduate School leadership and key constituents to meet annual recruitment, admissions, enrollment, and growth targets.
  • Represent the Graduate School in key campus conversations around student affairs, DEI, enrollment, information technology, technological applications (Sitefinity and Slate), and admissions.
  • Serve as the point of contact for the creation of new educational pathways, degree-granting programs, and certificates.
  • In collaboration with the registrar, bursar, and financial aid offices, ensure efficiency and alignment of Graduate School processes and procedures with broader campus academic processes.

Key Responsibilities:

Leadership and Program Development: 30%

  • Provide faculty and administrators with guidance around changing or creating new graduate-level academic programming such as graduate certificates and program tracks.
  • Analyze and implement new business practices and tools to ensure efficient and accurate student progress tracking.
  • Establish and manage relationships with outside vendors that provide matriculation-related services for graduate students by providing content and review of the products prior to launch (American DataBank, ProQuest, World Education Evaluation Services etc.).
  • Oversee student progress, authorize satisfactory completion of the requirements of the degree program and establish graduation and matriculation deadlines.
  • Authorize grade changes, leaves of absence, withdrawals, add/drop changes, late registration, course validations, late addition to graduation roster, tuition refunds, and late fee waivers for students.
  • Advise the Dean on issues involving student services and cases involving the C.A.R.E. Team.
  • Collaborate with the Registrar, Bursar, Security Badging, Campus Student Services, and International Offices on graduate student issues.
  • Oversee services associated with application processing, report and query creation, application fee waivers and automated communications sent to applicants.
  • Ensure Graduate School representation at all relevant campus-wide event committees such as commencement and block party.
  • Serve as the Graduate school's primary contact and liaison for application, admissions, matriculation, access and engagement, , student affairs, and student progress initiatives.
  • Represent the Graduate School on the Registrar’s Academic and Admissions committees (RAC and AWG) and Student Affairs Leadership (ASAL) committee.

Admissions and Student Progress: 20%

  • In collaboration with the Office of International Admissions, ensure process alignment for international graduate program applicants.
  • Approve and monitor provisional admissions and continuing student probational status.
  • Review and approve student Transfer of Credit. Coordinate with the Denver campus Transfer Articulation Team (TAT) to ensure approved credits are appropriately recorded on student transcripts.
  • Oversee processes for student onboarding.
  • Participate in and help the GS Team commencement and graduation processes and events.
  • Facilitate mutually agreeable transfers between degree-granting programs.
  • In collaboration with programs, craft individual “transfer” plans for students moving to our institution with new faculty.
  • Manage exit master’s degree process from initial student/program inquiry through awarding of the degree.
  • Approve final submissions of final dissertations/thesis to ProQuest to clear students to receive degrees and graduate.

Program Support: 10%

  • In collaboration with graduate programs, analyze admissions data and advise on recruitment initiatives and ROI.
  • Provide guidance to graduate programs on best practices around recruitment and student support.
  • Attend regular operational meetings at program’s invitation.
  • Serve as the graduate school point of contact for international admissions and student services.

Policy and Procedures: 20%

  • Work with the University Registrar to establish policies for graduate students and programs.
  • Develop the process for and manage program membership and compliance with WICHE WRGP (Western Regional Graduate Program) for CU Anschutz graduate programs and certificates.
  • Steward new and innovative training opportunities (e.g., certificates, tracks, degrees) through necessary approvals and build-out to meet changing educational demands.
  • Working with the Dean and Associate Dean, develop and ensure compliance with the rules, policies, and procedures of the Graduate School and work with the Registrar's office to ensure compatibility with university policies.
  • Collaborate with the Office of Case Management to create tailored leave plans for students and approve Leave of Absence requests.

Recruitment: 20%

  • Create and execute a comprehensive and targeted recruitment and marketing plan to support the enrollment and admissions process, from generating leads through student matriculation and analysis of ROI.
  • Annotate, manage, and provide recruitment data, reports, documentation, and summaries for grants (i.e. T32, R25, T15) and annual reports at the program, unit, and campus levels.
  • Establish and maintain relationships with educational and national organizations focused on educational opportunities
  • Work with counterparts in the other CU Anschutz schools and colleges to align recruitment efforts.
  • Serve as the graduate programs’ representative for recruitment, marketing, and communication efforts and initiatives.
  • Coordinate efforts of current faculty, students, and staff within all departments and programs to establish a tailored recruitment and marketing plan.


Work Location:


Hybrid – this role is eligible for a hybrid schedule of 2-3 days per week on campus and as needed for in-person meetings.

Qualifications:


Minimum Qualifications:

  • A bachelor’s degree in science, marketing, journalism, public relations, communications, business administration, business, psychology, public administration, computer science, educational technology, social science, liberal arts, or a directly related field from an accredited institution and 4 years of professional level experience in higher education.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Completion of a graduate (masters or doctoral) degree.
  • Professional experience in higher education recruitment and academic services.
  • Direct experience with Academic Services in a leadership capacity.
  • 7 years experience working in Graduate school setting.

Knowledge, Skills and Abilities:

  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Proficiency in Microsoft office applications
  • Outstanding customer service skills.

Anticipated Pay Range:


The starting salary range (or hiring range) for this position has been established as HIRING RANGE $95,000-$120,000
