Events and Recruitment Coordinator

What you will do:

Nature of Work:

The Events & Recruitment Coordinator assists with College of Arts & Media recruitment, admissions, events, and summer camps. This position will work under the direction of CAM’s Student Success Program Manager and Assistant Dean of Enrollment Management & Student Success. They will play a key role in coordinating the LYNX National Arts & Media Camps. They will also assist with prospective student recruitment, department tours, communication, and admissions. They will assist CAM and CAM departments with college, student specific events as needed.

Prospective Student Recruitment (50%):

  • Knowledgeable regarding all programs and areas of emphasis within the College and presents programmatic and application information to potential students and parents in person, through email, and through phone calls.
  • Lead CAM Department tours.
  • Lead CAM Virtual Info Sessions for prospective students.
  • Provide support as needed for CAM prospective student events.
  • Attends and represents CAM at college fairs (in-state and out-of-state).
  • Provide basic procurement support as needed for recruitment events.

Summer Program Duties (25%):

  • Assists with managing the camp day-to-day operations and helps supervise camp staff and students.
  • Coordinate with CAM Marketing to keep LYNX Camp website updated and assist with camp social media efforts.
  • Assist with the LYNX Camp newsletters, marketing and advertising.
  • Visits high schools, college fairs, and community events to recruit camp students.
  • Communicates with parents: e-mails, phone calls, meetings.
  • Keep relationships with camp families and follow up.
  • Coordinates student camp applications, payments, required forms, admission, and enrollment.
  • Assist Camp Director with faculty/guest artist needs.
  • Compiles and tracks camp data (for example: admission and retention rates of camp attendees).
  • Assists with the interviewing, hiring, and training of all camp student staff and instructor positions.
  • Works closely with CAM HR to coordinate all hiring and payments of summer camp student staff.
  • Supervise summer camp student employees, including review and approval of student employee timesheets.
  • Coordinate camp logistics and scheduling of spaces.
  • Assist with fundraising opportunities and events for camp scholarships.
  • Provide basic procurement support as needed for annual summer camps.

Student Events Coordination (25%):

  • Partner with events stakeholders including faculty and staff to coordinate events logistics including development and execution of event timelines, and generation of checklists encompassing logistics requirements.
  • Work with a team to approve CAM student events
  • Ensure compliance with all policies and procedures by partnering with applicable campus offices, as well as CAM Deans and departments, to obtain appropriate approvals and submit required documentation.
  • Assist with pre-event coordination for on and off-campus in-person, hybrid and virtual events such as:
    • venue arrangements/space booking,
    • program agenda development,
    • catering,
    • audio/visual needs,
    • health protocols,
    • vendor contracts,
    • guest/attendee invites and tracking,
    • security/building access,
    • parking/transportation,
    • Etc.
  • Work with CAM Marketing & Communications Team to assist with management of internal events calendar, as well as promotion of events through social media, posters on-campus, and the CAM website.
  • Help to organize, inventory, and order event material such as tablecloths, posters, banners, etc.
  • Establish and maintain positive relationships and partnerships across campus and with CAM constituents.
  • Serve as production manager and provide exceptional on-site execution and support for events including but not limited to: serving as point of contact, registration oversight, liaising with vendors and guest artists, management of student events staff, and general troubleshooting.
  • Perform other duties and services as assigned or requested; the college reserves the right to update and alter job duties based on college needs.

Qualifications You Already Possess (Minimum Qualifications)

  • Bachelor’s degree from an accredited institution.
  • One (1) year experience in event planning, event management, or project management.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Preferred Qualifications To Possess (Preferred Qualifications)

  • One (1) year experience in higher education and/or student services
  • One (1) year experience in summer camp programming

Conditions of Employment

  • Must be willing and able to successfully pass a national criminal and sex offender background check.
  • Must be willing and able to regularly work and be present at on-and-off campus events on evenings and weekends.
  • Must be willing and able to maintain a regular on-campus presence.
  • Must be willing and able to lift and carry items up 50 lbs.
  • Must be willing and able to travel as needed to participate and represent the College of Arts & Media at prospective student events and College Fairs.
  • This position follows a hybrid work structure where employees can work remotely or from the office, as needed, based on demands of specific tasks or personal work preferences. Working from the office is encouraged when working on tasks that require a high degree of collaboration.

Compensation And Benefits

The salary range (or hiring range) for this position has been established at $53,519 - $59,153.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
