The Department of Dermatology is seeking a dedicated and detail-oriented Research Administration & Finance Coordinator to oversee the day-to-today research operations. This full-time position will manage both Pre and Post Award administration and financial tracking. The successful candidate will provide comprehensive administrative, financial, and technical support to faculty, assist in securing external funding for research, terminating, and renegotiate contracts and sub-contracts, as well as researching and interpreting relevant regulations, guidelines, and standards. The coordinator will also oversee the processing of contracts and/or grants throughout the department.

Pre-Award Management (30%)
- Independently develop or assist faculty in the development and review of a working budget for grant applications, as well as the development or preparation of F&A calculations, consortium agreements and scopes of work for subcontracts, budget justifications, as well as other sponsor-required documentation.
- Independently work with the PI to route and submit grant applications, contracts, and subcontract agreements.
- Serve as primary point of contact and deliver all information needed for OGC to respond to Just-In-Time requests from the sponsors for assigned grants within the time frame required.
- Serves as the primary point of contact with OGC post-award, and in partnership, manages all of the Department’s active research awards.
- Utilizes A2E to proactively manage PI awards, providing monthly reporting, reconciliation and project expense projections. Ensure compliance with Federal, State and University Guidelines and policies.
- Proactively reviews award notices with PIs for accuracy, funding cuts, and/or restrictions. Works with PI to address any changes or rebudgeting requirements.
- Consult with PIs and project staff regarding allowability of proposed expenditures on sponsored funding.
- Oversees and supports timely submissions of ePERS, COI’s and other required reporting on all projects.
- Assist faculty in maintaining a comprehensive calendar to track all important dates related to grant submissions and renewals.
- Support PIs in executing and monitoring of subcontracts, invoicing, and cash receipts, as well as the preparation and routing of amendments.
- Support PIs with planning and tracking personnel budget allocations, incorporating recommendations for salary increases on an annual basis, the varying needs of grants for staff time and effort, and projections of staff salary coverage.
- Understanding and executing complex guidelines and regulations
- Oversees purchasing and procurement related activities, including but not limited to purchase orders, payment vouchers, INs, HNRs, and a variety of other instruments in both the University and CU Medicine fiscal systems.
- Interprets purchasing and procurement rules, updating internal procurement processes based on new/updated guidelines and procedures.
- Reviews and approves Concur expense reports, travel request forms, CU Marketplace requests, and other purchasing related items created by administrative staff for accuracy and compliance with policies and procedures.
- Communicates directly with procurement services team for educational, CME, and other contracts. Loads contracts into Marketplace; when applicable, handles Marketplace requests for deposits to external parties and tracks completion of these requests.
- Enters Journal Entries (JEs) and Payroll Expense Transfers (PETs) in compliance with internal and external policies and procedures.
- Processes and codes invoices for leadership approval in COR360.
- Receives and properly processes all checks and invoices in compliance with internal and external policies and procedures, inclusive of educational, clinical, and research.
- Updates and maintains centralized finance resources for administrative assistants in Microsoft Teams, training departmental staff as needed.
- Provide advanced expertise and leadership in development and management of complex grand applications and contracts.
- Lead initiatives to improve grant management processes and systems within the department.
- Independently manages the research enterprise of the department, ensuring alignment with strategic goals.
- Independently oversees department procurement processes, identifies opportunities for increasing efficiency and effectiveness for all department procurement needs.
- In partnership with Departmental leadership, develop and implement financial reporting tools used across all mission areas of the department.

- A bachelor’s degree in finance, accounting, business administration, business, or a directly related field from an accredited institution.
- Two (2) years of professional level experience in contract management, grants management, and/or financial management within a complex organizational structure
- A bachelor’s degree in finance, accounting, business administration, business, or a directly related field from an accredited institution.
- Three (3) years of professional level experience in contract management, grants management, and/or financial management within a complex organizational structure
- A bachelor’s degree in finance, accounting, business administration, business, or a directly related field from an accredited institution.
- Five (5) years of professional level experience in contract management, grants management, and/or financial management within a complex organizational structure
- Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year-for-year basis.
Preferred Qualifications:
- Experience with various types of funding and accounts including grants, contracts, gifts, endowments, state funding, indirect cost recovery, consulting revenue, auxiliaries, and service centers
- Familiarity with CU procurement and accounting software such as Concur, Marketplace, Cor360 and A2E.
- Experience in pre- and post-award grants and contracts administration within a higher education environment
- Ability to communicate effectively, both in writing and orally.
- Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
