Position Summary
The Associate Registrar is a key leadership role within the Office of the Registrar, responsible for ensuring adherence to university policies and state and federal regulations while overseeing the implementation and effective use of technology systems such as Ellucian Banner. This position focuses on maintaining the integrity of academic records, enhancing operational efficiency through innovative practices, and managing compliance and technology initiatives. Additionally, the Associate Registrar hires, trains, and supervises staff, serves as the primary contact for resolving inquiries from students, parents, faculty, and staff, and collaborates with college and school offices to ensure the accurate management of student records and processes.
Essential Duties and Responsibilities
Academic Records Management:
- Oversee the maintenance of accurate academic records of enrolled students including oversight of posting degrees for undergraduate, graduate, and professional programs in compliance with academic policies and procedures.
- Oversee and ensure the timely and accurate reporting of student and alumni information in the National Student Clearinghouse, including degree and enrollment verifications.
Office Operations and Supervision:
- Manage the daily operations of the Office of the Registrar, serving as the primary customer service contact and ensuring effective coordination and communication across the office’s functional areas.
- Hire, train, and supervise office staff, including the Office Assistant and work-study students, providing guidance and performance evaluations.
- Assume responsibilities of the Registrar in their absence.
Technology and Systems Oversight:
- Represent the Office on the Banner Student Committee, staying current on system updates and upgrades, including attending relevant training and conferences such as Ellucian Live.
- Support the use of Self-Service Banner for students and staff, creating training materials such as documentation and videos.
- Oversee and maintain office technology, inventory, and equipment, including purchasing supplies and managing maintenance needs.
Compliance and Reporting:
- Prepare and manage mandated reporting for the National Student Clearinghouse and the National Student Loan Data System, ensuring data integrity, accuracy, and timely submission.
- Identify and correct data inconsistencies in collaboration with other reporting offices, adhering to deadlines and confidentiality requirements.
- Serve as a VA School Certifying Official, ensuring compliance with federal and state regulations.
Customer and Campus Engagement:
- Represent the Office of the Registrar at orientations, campus trainings, and university meetings, acting as a resource for policy and process inquiries.
- Collaborate with cross-campus offices to improve processes and better support students, staff, and faculty.
- Serve on university committees as needed, contributing to institutional initiatives.
Requirements
Minimum Qualifications
Education -A college degree and a professional certificate or graduate degree; or 10 or more years of work experience in a related field.
Experience -Five years to seven years (Equivalent combination for education and employment)
Knowledge, Skills, and Abilities
The Associate Registrar must demonstrate proficiency in computer skills, database management, and customer service, with expertise in Microsoft Word, Windows, and other software systems. Experience with Ellucian’s Banner system is highly desirable, along with the ability to quickly adapt to evolving technology.
This role requires exceptional oral and written communication skills, strong interpersonal abilities, and excellent organizational skills, with a commitment to delivering outstanding service to students, faculty, staff, and alumni. Candidates should have experience in higher education that reflects an understanding of institutional processes, as well as a working knowledge of Registrar policies and procedures. A high degree of accuracy and attention to detail is essential.
The ideal candidate should be capable of managing multiple tasks independently while maintaining a high level of precision. This role involves balancing the management of personal responsibilities with overseeing the work of others and addressing multiple issues simultaneously in a dynamic environment.
Physical Requirements
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Work Environment
Regular exposure to favorable conditions such as those found in a normal office.

Commensurate with experience
Anticipated Schedule
Monday through Friday 8:30 a.m.-5:00 p.m. Some weekends or alternate business hours may be required.
