Minimum Qualifications
Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications
Two years of experience working in an academic, education, or public services setting, or similar.
Position Summary
The Collections Accounting Specialist reports to the Assistant Head of Collections and is responsible for developing and maintaining financial reporting tools and processes. This role provides financial analysis to guide collections decision making and supports annual reporting requirements. Additionally, the Collections Accounting Specialist manages invoice processing, maintains statistics, reconciles accounts, and works with various platforms to generate and manage financial data that informs collection management decisions. This position also supports the oversight of the University Libraries materials budget by keeping highly organized and detailed records, ensuring accuracy, timely payments, and compliance with university policies, vendor agreements, and state accounting practices and guidelines.
Knowledge, Skills, Abilities and/or Competencies
  • Understanding of basic financial analysis processes and theories (e.g., assumptions, financial forecasting/modeling/projections, financial data presentation/deliverables).
  • General knowledge of accounting practices, receiving invoices, and processing payment information.
  • Moderate to advanced Excel skills (e.g., formulas, pivot tables, conditional formatting, troubleshooting).
  • Knowledge of word processing and web publishing software (e.g., Microsoft Word, Adobe Acrobat).
  • Advanced organizational skills.
  • Ability to prioritize activities.
  • Ability to perform clerical tasks accurately with close attention to detail.
  • Ability to effectively troubleshoot clerical problems.
  • Effective oral and written communication skills.
  • Ability to establish and maintain productive working relationships.
  • Knowledge of modern office practices, procedures, and equipment.

  • Provides financial forecasting expertise by creating and maintaining financial reporting tools and processes.
  • Maintains budget tracking data and reconciles against UGA financial reporting tools.
  • Liaises with unit heads, Libraries finance team, and UGA Finance and Administration to manage financial record keeping, assisting with the resolution of payment processing problems.

  • Manages and trains staff and student assistants to ensure the proper maintenance of Collections transaction data.
  • Oversees the input of transactions into the Integrated Library System, ensuring that details are correct and accurately reflected across systems.

  • Ensures timely action and appropriate tracking of various payment processes by keeping detailed and organized records, using spreadsheets, and documenting workflows.
  • Communicates with vendors, publisher and internal stakeholders on the status of payments.

  • Serves as PCard administrator and reconciler by ensuring all receipts and preapproval forms are correctly uploaded to BOA Works in a timely manner.
  • Orders materials from publisher websites using PCARD.
