Introduction:
Duties and Responsibilities
**Manages day-to-day operations of the office and lobby to ensure quality services are provided to students via ground mail, email, or telephone.- **Maintains effective communication with academic counselors related to graduation requirements for Health Sciences and Emergency Medical Services programs.
- **Assists with collecting, processing and presenting data related to retention initiative to promote completion of degree requirements by calculating GPAs and maintaining knowledge of current, applicable academic policies and procedures.
- **Assists the counselors and faculty members with tasks, including but not limited to coordinating meetings, data-gathering, or drafting reports and presentations.
- **Assists with Program Application processes including but not limited to collecting program applications; maintaining database/spreadsheet of applicants’ information; and communicating with faculty as appropriate.
- **Communicates with applicants regarding application status and provides information to applicants when applications are incomplete.
- **Assists with registration activities and resolving registration problems.
- Assists with initial transcript review for graduation qualification.
- Updates materials disseminated to students to include: application packets, information session schedules, graduation requirements, program curriculum information when curricular/programmatic changes are approved.
- Coordinates with program faculty to disseminate updated program-related information via web pages and communicates to the web team any changes to programmatic information including information session schedules and general programmatic and curricular changes.
- Assists with Program and Master Affiliation agreements.
- Routes MOAs for signatures and returns fully executed MOAs appropriately.
- Reviews existing MOAs and works with program faculty to determine whether an update is needed.
- Proactively communicates with agency contacts to ensure current MOAs are in force.
- Assists with submitting Legal Services Requests to the Office of General Council as needed and monitors progress.
- Assists with collection and housing of student health records.
- Assists with the hiring process of student workers and peer mentors, including SECE-related tasks and serving as a panelist in interviews.
- Initiates, develops, and prepares customized summary reports to inform continuous improvement to the operation of daily functions
- Other duties as assigned.
Minimum Qualifications
- Possession of a baccalaureate degree in Education, Counseling, Social Work, Psychology, Sociology, Human Services or related field and one (1) year of progressively responsible professional experience with responsibilities for coordination in front office management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Functional knowledge of principles, practices and techniques in providing support to an academic advising or career exploration unit demonstrated by knowledge, understanding and ability to apply concepts and terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with an advising or career exploration unit.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the advising or career exploration unit.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software such as Microsoft Word, Excel, Adobe Acrobat, and other commonly used software.
- Demonstrated ability to understand both two-year and four-year program requirements, degree requirements, and admissions procedures and deadlines.
Desirable Qualifications
- Functional knowledge and preferably one (1) year of professional experience with the community college student population.
- At least one year of professional experience in working with community college students.
- Functional knowledge of Banner and STAR (Academic Essentials, GPS Registrations, and What if Journey).
- Functional knowledge of document scanning equipment and processing.
