Under the direct supervision of the Auxiliary Services Manager
Duties & Responsibilities:
(**denotes essential functions)- **Responsible for and oversee Operations & Maintenance (O&M) Computerized Maintenance Management System (CMMS) and associated functions and programs to include training, education, new user setup and assuring CMMS is fully functional and updated with most recent version
- Manages Work Order (WO) processing to include WO generation, distribution and closure.
- Creates reports when required under the direction of the Auxiliary Services Manager
- Generate Preventative (PM) and Predictive (PdM) maintenance WO processing and scheduling
- Communicates with campus users, Information Technology (IT) and University of Hawaii (UH) Systems for training, upgrades, servicing and repairs of CMMS system
- Implement and updates renewals such as permitting, contracts, environmental and safety governmental programs on CMMS scheduler; implement PM & PdM tasks, set triggers (date, miles, fuel usage, etc.) and distributes WO
- Works and Communicates daily with O&M staff and leadership
- Evaluates CMMS for recommendation and suggestions to improve/enhance systems capacity and capability.
- **Backup to Auxiliary Services Manager (ASM) during absence, leave and vacations
- **Understand processes, operations, functions and schedules of all O&M functions to include and not limited to Janitorial, Building Maintenance, Landscaping and Facilities Services (mailroom, etc.)
- Assist with oversight, planning, scheduling and direction
- Supervise Custodial and Grounds staff and work with O&M Department working supervisors for oversight of staff, functions and enhancements for each respective O&M Departments.
- **Assist ASM with project management of assigned Campus Improvement Project/Programs and Repair and Maintenance projects
- Plan, schedule, design, alter, implement, direct cost control campus projects
- **Work with consultants, UH System Engineers, Contractors and Vendors under the direction of the ASM
- **Responsible for management, oversight, updating, organizing campus O&M;
- Drawings, schematics, files, organizing documents, permit renewals/submittals and renewals/submittals of/for certifications
- **Perform general office management and administrative functions as assigned:
- Assist with Development of O&M policies, procedures and standard operating procedures.
- Assist UH Maui College Human Resources with O&M deliverables such as uniform and shoe processes, Performance Evaluation System, vacation and or sick leave, training, education, payables, Emergency Hire processing
- Assist and support UH Maui College Business office in Purchase orders (PO) processing, Procurement Card (P-Card) Processing, Procurement processes, O&M invoicing, reconciliations, equipment/asset inventory identification processes, renewals, contracts and agreements
- **Prepare, present and train campus users and staff personnel regarding Operations & Maintenance Standard Operating Procedures
- **Organize and maintain good housekeeping methods and techniques
- **Develop and implement organized filing processes, utilize modern methods, techniques, tools and equipment
- **Coordinate training to include classes, seminars, online study and advance studies that pertains to job duties and requirements

Education and Professional Work Experience- Possession of a baccalaureate degree in Project or Facilities Management, Public Administration, or a related field AND three (3) years of progressively responsible professional experience with responsibilities for Project or Facilities Management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Considerable working knowledge of principles, practices and techniques in the area of Computerized Maintenance Management System as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with Project or Management.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner in regards to Project or Facilities Management.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software and operate the current Microsoft Office Suite.
- Demonstrated ability to lead subordinates, manage work priorities and projects and manage employee relations.
- Able to develop and understand Spreadsheets and Technical Writing
- Able to lift minimum 30# of weight in various configurations
- Able to obtain Utility Cart and Material lifting certifications
- Possession of a valid Driver’s License
- Demonstrate knowledge of the Family Educational Rights & Privacy Act (FERPA) regulations
- Experience using and extracting data from a student information database in a college/university setting
- Proficient with computer software applications in terms of data spreadsheets, presentations and e-mail; familiar with database applications.
- Experience with University of Hawaii Banner Student Information System.
- Demonstrated knowledge of University of Hawaii employee and student employee regulations.
- Demonstrated knowledge of basic web programing experience.
