****Applicants seeking short-term or part-time work with the University of Hawai’i may apply for Casual Hire appointments, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits provided to regular Board of Regents or Civil Service employees. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Duties & Responsibilities

  • Assists with the development, interpretation, and implementation of policies, procedures, instructions, and guidelines as they relate to admissions and student services activities.
  • Assist with BSW and MSW admissions process from receipt of application to matriculation into program.
  • Coordinate with the Outreach College on Distance Education admissions.
  • Organize review process for scholarship opportunities for students
  • Manage daily office operations and tasks, including managing phone calls, emails, and walk-in inquiries from prospective/current students, faculty, and staff.
  • Develop and implement process/procedures to monitor and report student enrollment (admissions, graduation, transfers, etc.) including unclassified students.
  • Monitor undergraduate and graduate student records and assist with the development of reports.
  • Update application materials and other department processes in department technology tools such as Kuali, SW-CAS, Lamaku, etc.
  • Communicate with external programs, units, and others to maintain current and accurate information on School programs and their requirements.
  • Assist with the administration of electronic waiver exams, manage the grading process, and submit necessary paperwork for course waivers to reflect in STAR.
  • Coordinate with other departments on campus and agencies or institutions external to the campus on matters pertaining to records and/or courses, including transfer or waived coursework.
  • Process registrations, student confirmations, release and follow-up forms, and other faculty/student communication and documentation
  • Participate in weekly program and department meetings to provide updates on student services to relevant committees.
  • Draft, compile, and distribute the weekly Student Services newsletter.
  • Create, review, and maintain documentation for graduation checks and degree verification.
  • Monitor and report student enrollment and registration data to Department and Program chairs to inform course planning and enrollment management activities.
  • Support the distribution of students to faculty advisors, update advising lists and documentation
  • Update and maintain student service related listservs and other communication strategies
  • Other Duties As Assigned.

Minimum Qualifications:

  • Possession of a baccalaureate degree in Social Work, Social Sciences, Education, or related field and 1 year(s)[6] [7] of progressively responsible professional experience with responsibilities for student services; or equivalent education/training or experience.
  • Functional knowledge of principles, practices and techniques in student services demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with student services.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the student services.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

Desirable Qualifications

  • Knowledge and experience of the Banner and STAR student information systems.
  • Familiarity with University of Hawaii policies and procedures related to student services.
  • Familiarity with the structure, procedures, and policies of the University of Hawaii Records and Admissions and the UH Manoa Graduate Division Records and Admissions offices.
  • Familiarity with admissions processes of academic programs.
  • Knowledge and experience of records keeping, data analysis, and data management.
  • Experience working directly with diverse populations of students.
