 *** Applicants seeking short-term or part-time work with the University of Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular Board of Regents (BOR) and Civil Service employees (i.e. paid holidays/leave). Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Other Conditions:   Casual Hire temporary appointment is expected begin March 2025 or soon thereafter.   Not to exceed 89 days.  

Duties: 

Serve as coordinator for UH Hilo’s Testing Center.   Collaborate and work in conjunction with appropriate UH Hilo and UH System offices to carry out Testing Center operational duties.

  1. Oversee scheduling and administration of electronic and paper-based examinations, including the receipt of exam instructions and materials and secure transmittal of completed exam responses.  
  2. Ensure compliance with contractual agreements with professional testing organizations.
  3. Oversee preparation of testing surfaces to maintain examination integrity.
  4. Monitor student schedules and appointments, approve time sheets, and maintain SECE files for student assistants.
  5. Oversee assignment of fees and collection of proctoring payments.
  6. Maintain and analyze fiscal transaction information, chart of accounts, records and financial reports, fiscal data relating to materials, labor, overhead costs, object codes and control ledgers, registers, journals and other related fiscal records.  
  7. Assist with monitoring expenditures and maintain control of spending in accordance with budget plans.
  8. Regularly work outside normal business operating hours including evenings and Saturdays.
  9. Prepare and securely transmit exam payments to Cashier’s Office.
  10. Provide timely response to email and phone calls relating to Testing Center inquiries.
  11. Track office inventory and procure supplies as needed.
  12. Recommend changes to standard operating procedures to improve operations to achieve the most efficient and effective service to internal and external exam takers.
  13. Prepare periodic reports and other administrate responsibilities to support the strategic priories of the Testing Center.
  14. Perform regular computer updates and maintain operational status of testing computers.
  15. Regularly update the website to accurately reflect Testing Center schedule and information.
  16. Ensure compliance with ADA requirements associated with reasonable accommodations for students with disabilies.
  17. Other dues as assigned


Minimum Qualifications:

  1. Possession of a baccalaureate degree in Business, Human Resources, Public Administration or related field and 1 year(s) of progressively responsible professional experience with responsibilities for management and/or support of a higher education testing operation; or equivalent education/training or experience.  
  2. Demonstrated knowledge of Microsoft (MS) Office
  3. Experience working with databases to maintain detailed records
  4. Demonstrated knowledge of website management.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. 
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals. 
  7. Demonstrated ability to operate a personal computer and apply word processing software. 


Desirable Qualifications:

  1. Master's degree in Business Administration, Accounting, or related field.
  2. Ability to work effectively with multiple testing providers from the public and UH.  
  3. Knowledge of and experience with UH fiscal and other administrative policies and procedures.
  4. Ability to work effectively with multiple testing providers from the public and UH
  5. Accounting or fiscal experience in a public, comprehensive institution of higher education.
