Duties and Responsibilities (*denotes Essential Functions):
- *Serve as a functional member of the Business Affairs team and assist with various fiscal duties including, but not limited to, daily procurement; financial accounting; and disbursement activities.
- *Ensure procurement and payment documents are compliant and processed on a timely basis; track and monitor campus expenditures.
- *Participate as a team member in assisting with various fiscal duties including, but not limited to, tracking and monitoring campus expenditures; determining, inputting, and managing budgets; preparing financial reports to include year-end closing; budget status reports; and reconciliation of accounts.
- *Review and initiate fiscal documents and transactions such as requisitions, disbursement vouchers, travel, PCDOs, reimbursements, mileage, and other documents in compliance with University of Hawai’i (UH) policies and procedures.
- Extract financial information as needed using Kuali, JasperSoft, and/or other tools to prepare customized financial reports.
- *Ensure proper recording of expenditures and encumbrances, and initiate corrective action as needed.
- Review and approve student timesheets through the Student Employment and Co-operative Education System (SECE).
- Review, input, process, and approve overloads through the Timesheet and Payment System (TAPS).
- Review and approve casual hire payroll through TAPS.
- *Maintain and manage equipment inventory records of the campus.
- *Prepare and send invoices and statements to customers (e.g., Early College, facility use, etc.), monitor outstanding accounts receivables, and follow-up on delinquent accounts.
- Assist with internal training to faculty and staff members on existing and new UH fiscal policies, procedures, and processes.
- *Assist with BANNER/cashiering functions.
- Other duties as assigned.
Minimum Qualifications:
- Possession of a baccalaureate degree in Business Administration, Accounting, or related field and 0 year(s) of progressively responsible professional experience with responsibilities for financial accounting, fiscal management, and/or purchasing/contracting management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities.
- Functional knowledge of principles, practices and techniques in the area of finance and/or accounting demonstrated by knowledge, understanding and ability to apply concepts, terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with finance and/or accounting.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of finance and/or accounting.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software.
Desirable Qualifications:
- Experience pertaining to the fiscal administration and administrative policies and procedures of UH and RCUH.
- Experience with higher education financial management information systems and/or student information systems to include KFS, JasperSoft, BANNER, etc.
