Description

Directs an ongoing university program to ensure that prescribed activities are carried out in accordance with its mission and/or specified objectives. Prepares short- and long-term goals and objectives.

  • Plans, develops and administers methods, strategies and procedures for meeting program objectives; directs and oversees the daily activities of staff members.
  • Prepares and monitors the annual budget and ensures that expenditures are within budget allocation.
  • Directs and coordinates personally, or through subordinate personnel, activities concerned with carrying out the objectives of the program.
  • Directs the preparation of and reviews reports and records of activities to ensure progress is being accomplished toward specified program objectives; modifies or changes methodology as required to redirect activities and attains objectives.
  • Analyzes trends within program areas, maintaining expert awareness of program information and change needs.
  • Formulates, implements, and maintains appropriate policies and procedures concerning program administration.
  • Manages and administers grant for program, including meetings, communication coordination, scholarships and other operations.
  • May prepare or participate in the preparation of proposals to obtain grants from state and federal agencies, and private foundation sponsors.
  • Performs other job-related duties as assigned.

MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of three (3) years of directly job-related experience.

Position Overview

We are seeking an experienced and dedicated professional to serve as the PhD Program Administrator. This is a full-time administrative staff position responsible for overseeing the day-to-day operations, administration, and coordination of the program. The Administrator will work closely with faculty, staff, and students to ensure the program’s success and maintain its reputation for academic excellence.

Key Responsibilities

  • Program Administration and Operations:
  • Manage the daily operations of the PhD program, including scheduling, communications, and reporting.
  • Ensure compliance with institutional, accreditation, and regulatory requirements.
  • Develop and implement program policies, procedures, and guidelines in collaboration with faculty leadership.
  • Admissions and Recruitment:
  • Oversee the PhD admissions process, including application review, application fee waiver requests processing, communication with applicants, and proof admission offer letters.
  • Plan and execute recruitment strategies to attract a diverse and talented pool of candidates.
  • Serve as the primary point of contact for prospective and admitted students.
  • Serve as the liaison between the Graduate School and the PhD program, especially during the admissions process.
  • Student Support and Advising:
  • Provide administrative support to PhD students, including orientation, milestone tracking, and graduation preparation.
  • Act as a resource for students, addressing questions about program requirements, policies, and funding opportunities.
  • Coordinate with other departments to ensure timely processing of assistantships, fellowships, and financial aid.
  • Serves as a liaison between international PhD students and the International Student and Scholar Services Office (ISSSO).
  • Faculty and Stakeholder Collaboration:
  • Serve as the liaison between PhD students, faculty, and other administrative units.
  • Work with faculty to maintain up-to-date records of course offerings, dissertation committees, and research opportunities.
  • Collaborate with academic leadership to support faculty involvement in the program.
  • Event Coordination:
  • Organize events such as orientations, research showcases, workshops, and graduation ceremonies.
  • Coordinate professional development sessions and networking opportunities for PhD students.
  • Data Management and Reporting:
  • Maintain accurate records of student progress, program performance, and alumni outcomes.
  • Prepare reports for internal and external stakeholders, including accreditation bodies and funding agencies.
  • Analyze data to identify areas for program improvement and implement necessary changes.
  • Outreach and Communications:
  • Manage program communications, including website updates, newsletters, and promotional materials.
  • Build and maintain relationships with alumni, industry partners, and other stakeholders to enhance the programs visibility.
  • Represent the PhD program at institutional events and external conferences as needed.
