This position is responsible for providing leadership to build strong positive relationships between the Department of Civil and Environmental Engineering (CEE) and its students, alumni, and friends. Plan, coordinate, publicize, and staff various alumni and student-related events and programs. Support planning, coordination, staffing, and logistics of departmental events including but not limited to award ceremonies, research workshops, meetings with industry partners, advisory board meetings, and career fairs. - Independently maintain and implement a comprehensive programming plan to encourage connection between students, alumni, and the department, including regional and international events hosted by both the CEE Alumni Association (CEEAA) Board of Directors and the Young Engineers Division, and professional development activities.
- Provide administrative support to CEE Alumni Association Board and its Young Engineers Division.
- Plan and execute events for alumni, students, and industry contacts, including but not limited to Chicago Alumni Dinner, CEEAA Board meetings, Distinguished Faculty Luncheon, Chicago Windy City Social, St. Louis Social, CEE Golf outing, Faculty-Alumni Interaction Webinars, and CEE Tailgate and future activities.
- Coordinate phone calling initiative with the CEEAA Board of Directors for student recruitment.
- Support and Coordinate nominations for CEEAA, campus, college, and department alumni awards with the office of the Department Head
- Support the CEEAA Board election including soliciting and preparing self-nominations for CEEAA Board of Directors.
- Keep abreast of best practices and procedures in the alumni/corporate/student relations arena and advise department leadership on desirable changes to CEE’s programs.
- Track expenses and revenue from all events and the CEE job fairs according to departmental policy.
- Track alumni activities through the TED alumni database, including event registrations, email correspondence, board activity and visit reports. Serve as unit liaison to the University of Illinois Alumni Association and UIF Annual Giving Program.
- Participate in CEE area conferences with large alumni populations by hosting alumni events and providing CEE swag giveaways and CEE Lapel pins at a booth during conference including T.H.E. conference, International conference on transportation Geotechnics, TES Conference, and AWWA. Department Support:
- Support organization of dinners and receptions for faculty investitures.
- Support Staff and Faculty Awards reception.
- Provide administrative support for the Industry Partners Program· Plan and implement Staff Brain Breaks.
- Support logistics, registration and scheduling of CEE events, advisory Board meetings, research and professional development workshops and research center events· Order and manage CEE swag and gifts for CEE department Student Support and Career Services:
- Plan and execute student support and career services events including but not limited to two annual CEE job fairs, nine-session Backpack to Briefcase professional development series for students, and CEE graduation receptions.
- Facilitate and manage CEE Job Shadow Program in conjunction with the Student Committee of the CEEAA Board of Directors.
- Support the Graduate program including GLCM program and planned student enrichment programs. Other duties as assigned. Minimum Qualifications:
- Bachelor’s degree.
- A total of four (4) years (48 months) of work experience in program management.
- Familiarity with university business and operating processes.
- Experience using Webtools and Handshake.
- Experience planning and executing job fairs.
- Experience planning and executing both in-person and virtual events.
- Excellent project management and organization skills.
- Ability to handle multiple duties simultaneously.
- Excellent oral and written communication skills.
- Independence and initiative to work without direct supervision.
