Position Summary

The Medical Education Program Coordinator will coordinate daily operations and provide assistance in the planning, development and implementation of Special Curricular and Phase 3 programs. A thorough knowledge of curricular policies and procedures is needed. The position also assists in program planning while reporting to the Academic Affairs, SCP Program Coordinator.

Duties & Responsibilities

Special Curricular Program Coordinator

  • Responsible for coordinating curricular sessions within special curricular programs, including content and faculty preparation of the material.
  • Provides feedback to faculty regarding the outcomes of the course curriculum and makes recommendations for future sessions. Serves on committees collaborating with cross-college coordinators for planning and logistics, representing the Associate Dean for Academic Affairs, SCP Program Coordinator, and special curricular course directors.
  • Participates in planning and logistics of travel arrangements for students and faculty in special curricular programs.
  • Compiles the SCP master schedule. Participates in screening, ranking of applications, and interviews.
  • Assists with student orientation efforts by compiling orientation content and materials.
  • Maintains assignments, tracking, and grade allocation for special curricular programs.
  • Originates, compiles, analyzes data and prepares reports on special curricular programs for the Associate Dean for Academic Affairs and course directors.
  • Support budget-related activities by reviewing, managing, and reconciling monthly costs, ChromeRiver expense reports, and grant allocation.
  • Organizes communications and metrics needed to keep students on track for special curricular program requirements.
  • Provides current program knowledge and expertise in procedures, and technical specifications, related to the course.
  • Acts as point of contact with campus, agency, and university departments.

Phase 2/3 Simulation Support

  • Provides simulation support for phase 2/3 simulation offerings, GCE, and Clinical Competencies Course.
  • Works with UICOMP Simulation Team and JUMP to coordinate dates, space, and Standardized Patients (SP’s).
  • Reviews simulation scenarios with UICOMP Simulation Team and Assistant Dean for Medical Education and Assessment and other clinical faculty for appropriate scheduling.
  • Responsible for administration of evaluation process, compiling evaluation feedback for preceptors and course directors.

Transition to Residency (TTR)

  • Coordinator Confirms eligibility of students for Transition to Residency (TTR).
  • Assists with student orientation efforts by compiling orientation content and materials.
  • Coordinates and Collaborates with UICOMP Simulation team and JUMP.
  • Maintains master schedule of dates with Jump Simulation Center.
  • Assists TTR Course Director, Assistant Dean for Medical Education and Assessment, and other clinical faculty with simulation scenarios
  • Confirms TTR attendance of students informing course director of issues.
  • Compiles TTR feedback from students and preceptors for evaluation by the course director.
  • Tracks TTR components of grading for course director; Alerts of concerns.
  • Coordinates and participates in planning meetings for TTR course.
  • Ensures accurate confidential files for yearly evaluation of the TTR course.

Coordinator for the Physical Medicine and Rehabilitative Medicine elective

  • Oversees student study and relaxation spaces within clinical partner sites.
  • Collaborates with UICOM and Peoria AOA Co-Councilors to create and develop call for Resident, Fellow, and Faculty nominations to Alpha Omega Alpha Honor Medical Society.
  • Coordinates and distributes application materials to all members of the judging panel, notifies nominators and nominees of application decision, and organizes the banquet to honor new and student members.

Proctors standardized assessments (Phase 1 and Phase 2) as needed. Performs other related duties.
