Job Summary
Support all aspects of HR functions for the School in a shared services business office environment, serving the main School, the Center for Prevention Research and Development (CPRD), the Children and Family Research Center (CFRC), and both on-campus and off-campus employees funded by Illinois Department of Children and Family Services (IDCFS) and Office of Medicaid Innovation. Duties & Responsibilities
- Employment Processing
- Process, review, and submit human resource transactions for all employee types, including new hire processing, onboarding, and orientation; ensuring timely completion of I-9s; rehire retiree processing from start to finish; reappointments; biweekly time entry and approval; lump-sum, service in excess and employee award payments; remote work agreements; labor redistributions; and separations.
- Independently manage all search processes to coordinate the hiring of specialized faculty, civil service, academic professionals, and hourly employees. Consult with search committees and advise on appropriate methods for hire. Use sound judgement in developing new and existing positions, including position development and approval, employee requisitions, candidate interviews and selection process, and critical judgment in reference checking. Facilitate school and campus approvals and oversee the administrative duties of each search. Assist in making offers to employees and managing equity within the School. Consult with Illinois Human Resources and the Office for Access and Equity as needed.
- Update and monitor employee vacation and sick leave usage on an ongoing basis; report vacation and sick leave usage to Banner biannually.
- Policy Administration & Compliance
- Monitor human resource policy compliance according to Federal, State, and University policies and procedures. Working with the Director of Human Resources, assist in the development, implementation and maintenance of all School wide policies related to human resource administration.
- Administer Annual Performance Review Process for civil service, academic professional and specialized faculty employees.
- Advise on policies related to Ethics Training, Title IX Training, ANCRA Training, and other University required trainings and ensure compliance. Advise on employee leave requests, including family medical leave.
- Employee Relations
- Provide consultation to employees and their supervisors, informing them of their rights and responsibilities within their respective roles. Collaborate with Illinois Human Resources, supervisors, and the Director of Human Resources.
- Other Duties
- Maintain employee email listservs, website directory, and personnel files.
- Other related duties as assigned.

Knowledge, Skills and Abilities
Understanding, knowledge, and the ability to interpret campus, state and Federal human resource policies and campus labor contracts. Ability to create and maintain a collaborative, team-oriented style and the ability to develop solid collaborative relationships with a diverse group of campus constituents including administrators, faculty, staff and students. Excellent problem solving and conflict management skills with a strong aptitude toward customer service. Sound judgment with excellent interpersonal skills and the ability to adapt daily to a fast-paced office environment. Ability to manage multiple priorities which include a wide array of complex tasks.
Appointment Information
This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible afterthe search posting closes. The budgeted salary range for the position is$58,000-$65,000. Salary is competitive and commensurate with qualifications andexperience, while also considering internal equity. Sponsorship for workauthorization is not available for this position. Hybrid work options may be available for thisposition with the ability to be on-site as needed per the University'sWorkplace Flexibility policy.
