The Information Service Supervisor will collaborate with the Executive Director direction and supports the Counseling Center. The position is responsible for initiating and coordinating the office support functions required for the effective implementation of administrative policies of the unit. This position will manage the front desk staff (Program Service Aid and a Program Service Specialist) ensuring processes, operations and procedures are being adhered to.
Duties & Responsibilities:
- Responsible for implementing program priorities, setting goals, and objectives for front desk staff in the ongoing process of the Counseling Center.
- Provides leadership for the development of employees.
- Ensure that front desk staff reconcile accounts in a timely manner and are using the correct codes according to OBFS.
- Responsible for training new hires and employees on new policy and procedures.
- Participates in departmental objectives and long-term planning.
- Responsible for front desk staff completing ticket requests for employees with issues with IT, phones, scanning, copier, etc.
- Enters non-clinical client information into Titanium.
- Responsible for front desk employees leave requests and time punches approvals.
- Informs Clinical Director of problems related to appointment coverage, client complaints, etc.
- Assist with scheduling appointments and other duties when staff is out.
- Maintain files by scanning documents into client files and ensure client files are signed off properly by counselors before they are closed.
- Assists in yearly retention of client files.
- Ensures that service and informational requests from clients, families, university staff, and outside agencies are routed to appropriate staff members to fulfill requests.
- Maintains inventory of forms needed for various counseling services and activities.
- Serves as liaison between other departments and the Counseling Center and bring any problems to the attention of the appropriate supervisor.
- Assist with maintaining appointments for the Executive Director.
- Book meeting space and catering for the department.
- Maintains inventory of office supplies and order when needed.
- Perform other duties as assigned.
Minimum Qualifications Required:
1. Any one or combination totaling four (4) years (48 months) from the categories below:
A. College coursework in any field as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
B. Progressively more responsible work experience requiring organizing, assigning, and coordinating the work of others and disseminating information effectively.
