Talent Acquisition Specialist- Swanlund Human Resources

The University of Illinois is accepting applications for a Talent Acquisition Specialist in Swanlund Human Resources. The Talent Acquisition Specialist manages the recruitmentprocess for assigned positions, ensuring the university attracts and hires toptalent. This role is crucial for building a strong workforce and supporting theuniversity's strategic goals. This role requires expertise in handling complex HRprocesses, safeguarding sensitive and confidential information, and providingcomprehensive guidance on University HR policies and procedures to ensurecompliance and operational excellence.

Duties & Responsibilities

Talent Strategy

  • Lead the full-cycle recruitment process for a variety of roles, ensuring smooth and efficient operations while maintaining compliance.
  • Develop and implement talent strategy for Academic Professional, Civil Service, Faculty, and other positions.
  • Serve as the primary point of contact for applicants and administrative representatives, providing excellent customer service and guidance.
  • Collaborate with key stakeholders to create job descriptions, approve salaries, and screen applicants.

Applicant and Committee Management

  • Provide training and support to search committee members, ensuring adherence to best practices.
  • Troubleshoot any technical issues and respond to inquiries from applicants, hiring officials, search committees and other interview participants.
  • Manage the application review process to ensure a consistent and fair evaluation of candidates.
  • Interview Coordination

  • Enhance the candidate experience by coordinating in-person and virtual interviews, managing travel logistics, and ensuring a smooth and consistent process.
  • Work closely with candidates and hiring teams to make sure each interview is engaging, transparent and efficient.
  • Ensure the completion of all end-process documentation, including updating disposition codes in Cornerstone, collecting and reviewing reference check forms, and ensuring regret letters are sent in a timely manner.
  • Communication and Support

  • Keep leadership and staff informed of search progress, challenges and resolutions.
  • Draft and manage professional correspondence, including offer letters, regret letters, and evaluation forms.
  • Provide expert guidance for HR workflows and best practices, promoting operational excellence.
  • Design and implement recruitment and advertising strategies to attract a diverse and high-quality applicant pool.
  • Ensure consistent communication with candidates, hiring managers, search committee chairs to ensure alignment and transparency throughout the search process.
  • Compliance and Process Improvement

  • Act as a liaison with campus-level HR and Office of Access and Equity (OAE) to ensure compliance with university hiring policies.
  • Build and maintain strong professional relationships with campus administrators and staff.
  • Stay updated on evolving HR practices, contributing ideas for continuous process improvement.
  • Monitor compliance with university hiring policies and ensure accurate documentation for hiring and appointment changes.
  • Minimum Qualifications

  • Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
  • Two (2) years (24 months) of work experience performing professional-level human resources duties.
  • Preferred Qualifications

  • Experience with university HR activities and systems such as Banner, HR Front End, Chrome River and JDX / Cornerstone.
  • Two years of work experience in higher education, working with senior-level administration.
  • Knowledge, Skills and Abilities

    Confidentiality & Professionalism- Proven ability to handle highly confidential and sensitive information with discretion and integrity. Strong professional demeanor for interacting with diverse stakeholders at all levels.

    Organization & Attention to Detail- Exceptional organizational skills with the ability to manage multiple priorities and meet strict deadlines with accuracy. Self-motivated and proactive, with a keen eye for detail and process improvement.

    Communication & Collaboration- Outstanding verbal and written communication skills to engage with applicants, hiring managers, and leadership. A relationship-builder who thrives in cross-functional teamwork and aligns efforts toward shared goals. Ability to work independently while exercising sound judgment and knowing when to escalate issues appropriately.

    Technology & Adaptability- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Adobe Acrobat) and ability to quickly learn and adapt to HR systems. Comfortable using online meeting platforms and collaboration tools.

    Appointment Information

    This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The position works in-person in an office environment. The salary range for this position is $60,000-$65,000. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work authorization sponsorship is not available for this position.
